The Washington State Office of Superintendent of Public Instruction (OSPI) seeks to fill Administrative Assistant 3. This full-time position is based in Olympia, Washington. This position may be eligible for partial to near full-time telework. Telework is a combination of in-building and off-site days. Position Overview
This is an administrative support position in the Student Information – Program Supports team, Division of Data Strategy and Student Information, at OSPI. Student Information’s objectives are to produce timely, accurate, and meaningful analysis and reporting about students to support the needs of OSPI, school districts, partner agencies, the legislature, and the public.

Key Responsibilities

Administrative Support
  • Support team’s office needs such as procurement, hiring processes, contracts, and preparing travel arrangements.
  • Assist team members with facilitated meetings, including calendar scheduling, agenda sharing, monitoring chat in online meetings, notetaking, and ensuring follow up items are documented.
  • Monitor email inboxes and route to appropriate analyst for follow up.
  • Assist team members with file and records retention management.
  • Review publications and communications authored by team for proofreading, formatting, alignment with OSPI style guides, and ADA compliance.

Process Support

  • Update and maintain Microsoft platforms, including SharePoint.
  • Support team with monitoring and tracking budgets.
  • Provide support for the agencies secure file transfer protocol and the states managed file transfer.

Organizational Support

  • Manage calendaring with internal and external entities, to include scheduling follow up, completing availability polls upon request.
  • Serve as administrative support to workgroups facilitated by the Director.


Required Qualifications:

  • High School Diploma or GED equivalent AND three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work experience OR
  • Associates degree AND two (2) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work experience OR
  • Bachelor’s degree AND one (1) year of experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work experience

Desired Qualifications:
  • Proficient in all Microsoft Office applications (Word, Excel, Outlook, PowerPoint) and Adobe
  • Proficient in Microsoft SharePoint and PowerAutomate
  • Ability to draft, edit, and accurately format a variety of documents including correspondence, publications, bulletins/memorandums, contracts, and reports in alignment with ADA compliance
  • Strong writing skills and command of English grammar, editing rules and practices for punctuation, composition, formatting, and proofreading
  • Knowledge of OSPI policies and procedures regarding travel, meetings, contracts, and purchasing
  • Experience using website development and maintenance platforms
  • Ability to multi-task, project manage and meet short deadlines, prioritize work, work independently, and contribute productively as a team member
  • Willingness to learn new technology tools in support of essential responsibilities
  • Self-directed, willing to take initiative; demonstrate good judgment, and ability to work successfully with a wide variety of people
  • Exceptional customer service skills, sometimes under stressful conditions

Compensation

The annual compensation for the position is $40,512 - $53,964 per year and depends upon experience, educational background and qualifications. Geographic differentials may be applied based on work location of successful candidate. Washington State offers a generous benefit package including health, dental and life insurance, retirement and an optional deferred compensation program.
