This is a permanent full-time Administrative Assistant 3 position within the
Office of Radiation Protection
The mission of the Department of Health’s Office of Radiation Protection (ORP) is to protect and improve the health of the people in Washington State by working to ensure that exposure to radiation is as low as reasonably achievable. This position supports that mission through professional and technical expertise in administrative activities supporting the ORP as we work to ensure that exposure to radiation is as low as reasonably achievable.
This position provides administrative support to the Tumwater-based Deputy Director, staff reporting to the Deputy Director (WMS3), and other sections within the office, as needed. This position will participate as a collaborative member of the Office of Radiation Protection (ORP) administrative team led by the ORP Lead Administrative Assistant (AA4).

Duties and Responsibilities
Perform various administrative support activities including but not limited to:
  • Outlook calendar management; coordinating and scheduling meetings; preparing agendas and handouts; proofreading documents; and taking, distributing, and storing meeting minutes.
  • Proofread, edit, or review various documents, personnel related documents, correspondence, reports, making corrections for sentence structure, spelling, grammar, and punctuation, following current office, agency, and Washington State correspondence standards and guidelines.
  • Work with Fiscal Analyst to evaluate costs and prepare purchase requisitions for expenditures such as office equipment, supplies, furniture, and other necessary office related purchases.
The duty station for this position is in Tumwater, WA. Telework (mobile work) is currently expected. When approved, the incumbent is expected to report to the duty station for work activities. Partial telecommuting may be an option subject to supervisory approval. It is anticipated that the incumbent would be expected to report to the Tumwater duty station for work activities 2-3 days weekly.

Required Qualifications:
  • High school diploma or GED
  • Three (3) years providing office administrative and/or secretarial support, bookkeeping, and accounting.
Note: College level course work may substitute year-for-year for up to two (2) years of required experience.

AND

Experience in two (2) or more of the of the following qualifications:
  • Compiling documents intended for internal and external distribution.
  • Providing proofreading and editorial expertise for grammar, punctuation, word usage, content, structure, readability, adherence to office standards, and accurately entering data and/or keyboarding.
  • Effectively using independent judgment to resolve complex administrative issues, prioritize work, and meeting deadlines.
  • Using an electronic calendaring system to schedule a variety of meetings.
  • Working with paper and electronic records management systems.
