The Department of Workforce Services (DWS) is seeking a skilled and motivated Executive Secretary to join the Utah State Office of Rehabilitation (USOR) team. This position is located in the Salt Lake Downtown District in Salt Lake City, UT.
Principal Duties The Executive Secretaryperforms the following tasks:
Provides paraprofessional support to the district management team.
Provides technical assistance and support with purchasing tangible items in accordance with state purchasing rules.
Processes bills and payments according to established fiscal rules.
Reviews all submitted bills for accuracy.
Ensures monthly accounts payable reports are conducted.
Tracks fiscal errors and compiles annual reports.
Acts as a lead worker to the office specialist.
Answers correspondence and assists with reception duties.
Creates/revises procedures, techniques and materials.
Processes staff travel arrangements and reimbursements.
Arranges meetings, conferences, workshops and travel.

Program knowledge and its related processes, procedures, policies and goals for Rehabilitation.
Sensitivity, tact and professionalism.
Knowledge of computer word processing software and automated software applications such as Microsoft Word, Excel, Adobe, Publisher and Eventbrite.
The ability to work independently.
