EXAMPLE OF DUTIES
The Process Improvement Specialist role serves in the Department of Personnel & Administration’s Executive Director's Office, reporting to the Director of the Performance Management Unit. The Performance Management Unit (PMU) is responsible for supporting the Department of Personnel & Administration (DPA) in setting and achieving its strategic priorities and goals in alignment with the State of Colorado’s SMART Act and DPA’s Performance Management requirements. The PMU team applies data analysis, change management, process improvement, and project management methodologies towards achieving DPA’s strategic priorities, mission and vision. The Process Improvement Specialist role is the staff authority and subject matter expert for DPA’s process improvement and Lean business management systems, fostering a culture of daily continuous improvement, innovation and performance excellence. This role will be based out of DPA’s Division of Central Services, Integrated Document Solutions (IDS) Denver location.A summary of the duties and responsibilities will include, but are not limited to, the following: Process improvement: Values-Based Performance: Role model organizational values and Lean principles while achieving desired outcomes, in alignment with DPA’s mission, vision and overall strategic priorities.Process Improvement: Design, implement and advance Integrated Document Solutions Denver’s maturity in Lean business management systems that include team huddles, visual management, standard work and more.Facilitation: Facilitate meetings and events such as root cause analysis sessions, improvement events and other general meetings.Relationship Management: Manage customer and stakeholder relationships.Project Management: Manage all aspects of assigned projects from inception through to closure, leading teams to meet project deadlines and outcomes.Change Management: Participate in, and lead change management activities associated with process improvement, advising leaders to identify and implement organizational design changes including, but not limited to, staffing models, shift and workspace design, and others in a way that aligns with operational needs.Monitor for continuous improvement: Implement and monitor project or process performance.Data Analysis: Collect, analyze and use data for process improvement decision making.Training and Coaching: Training: Design and deliver trainings as needed to support the continuous improvement mind-set and skill set within individuals and teams.Coaching: Provide 1:1 coaching to employees who are seeking to learn and adopt process improvement, project management, facilitation, change management, strategic planning and goal setting toolkits and skill sets.Continuous Learning: Stay up-to-date with facilitation, process improvement, project management and change management trends, innovations, theories, and best practice.Strategic Planning and Goal setting: Strategic Planning: Partner with PMU team to facilitate DPA strategic planning and employee individual performance goal setting.Initiative and Data Reviews: Partner with PMU team to prepare for routine DPA-Stat meetings, working with DPA divisions to gather, analyze and visualizing performance metrics.
