Job Overview:
We are seeking a highly organized and detail-oriented Office Manager to join our team. As the Office Manager, you will be responsible for overseeing the day-to-day operations of our office/management of the shop. Daily duties will involve ordering parts, interacting with customers, writing invoices, making phone calls, etc. You will also have to get familiar with and use our shop management software, sync all the bills and purchace orders with quickbooks, etc. Basically anything that is required to manage the adminstrative portion of a truck/equipment repair shop, you will be responsible for, with some help from the owner. Someone who has some experience with the automotive industry or is a car/truck enthusiast is prefereed as it would be rather difficult to do this job if you cant identify or dont have knolwadge of autmotive parts.
This job can potentially be partially done from home as all of our software is cloud based however it would require coming to the shop at least 3 days a week for 6-8 hrs.
Responsibilities:
- Manage and coordinate office activities, including scheduling appointments, managing calendars, and handling correspondence
- Oversee front desk operations, including greeting visitors, answering phone calls, and directing inquiries
- Maintain office supplies inventory and place orders as needed
- Assist with training and development of new office staff
- Handle payroll processing and maintain accurate records
- Coordinate meetings and events, including making travel arrangements and preparing meeting materials
- Manage office budgets and expenses
- Perform general administrative tasks such as data entry, filing, and document preparation
- Utilize QuickBooks to manage financial transactions
Experience:
- Proven experience in office management or a similar administrative role
- Strong knowledge of office procedures and systems
- Experience in medical office management is a plus
- Proficiency in schedule management and calendar coordination
- Familiarity with training development processes
- Knowledge of payroll processing and recordkeeping
- Excellent organizational and time management skills
- Ability to prioritize tasks and meet deadlines
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with QuickBooks or other accounting software
