Job Title: Accounting Assistant

Department: Operations and Maintenance

Pay Grade: Clerical Scale Grade C12

Work Calendar: All 12 Month Staff

FLSA Status: Non-Exempt


GENERAL PURPOSE

Under the supervision of the Office Manager/Executive Assistant, the Accounting Assistant performs technical and clerical work involving the preparation and maintenance of financial records and analysis of complex data.


MAIN JOB TASKS AND RESPONSIBILITIES

Payroll

  • Verify time and leave reports submitted and make corrections as needed.
  • Prepare, process and maintain accurate employee payroll records monthly.
  • Prepare Monthly Payroll Reports, as needed.
  • Serve as liaison between Operations & Maintenance Department and school departments regarding part time payroll.

Administrative/Accounting

  • Compare checks with invoices and forward to vendors.
  • Respond promptly and thoroughly to written and oral requests for information.
  • Plan, schedule, and perform a wide variety of clerical and typing work related to the specialized functions to which assigned.
  • Serve as a receptionist, answer the telephone, and respond to the needs of the general public as needed.

Uniforms

  • Serve as liaison between Operations & Maintenance and Uniform Company assisting employees with getting uniforms (FR Uniforms/T-Shirts/Boots/Hats).

EDUCATION AND EXPERIENCE

  • High school diploma, G.E.D., or any combination of education and experience equivalent to graduation from high school, supplemented by courses in bookkeeping or accounting.
  • Previous experience and/or training which would provide the required knowledge, skills and abilities to perform varied accounting procedures and related clerical functions are required.
  • Demonstrated computer skills and experience as related to the position and, in particular, Microsoft Office (word, excel, etc.) and various computer-based accounting systems.
  • Ongoing evidence of mental and physical competence to perform assigned responsibilities may be required from a qualified physician.
  • An applicant who has had prior experience in a related position must have a performance rating acceptable to Stafford County Public Schools for such experience.

    • Comprehensive knowledge of Operations & Maintenance Department operations and procedures.
    • Demonstrate knowledge of Stafford County School Board financial management policies and procedures.
    • Demonstrate knowledge of standard accounting principles and methods.
    • Demonstrate general knowledge of standard office procedures, practices and equipment.
    • Demonstrate knowledge of one or more computer applications as required for the position.

    • Demonstrate effective time management and organizational skills
    • Demonstrate initiative and ability to work independently.
  • Abilities
    • Ability to gather and analyze data. Tracks Payroll budget and makes recommendations for improvement based on analysis of data.
    • Ability to write and design reports required by Operations & Maintenance Department directors and school departments.
    • Demonstrate the ability to follow detailed procedures and perform mathematical computations with accuracy.
    • Demonstrate ability to work cooperatively and positively with staff, students and community.
    • Demonstrate ability to use appropriate written and verbal communication including a thorough knowledge of English grammar, usage and spelling.
    • Work cooperatively in a team environment to meet goals
    • Organize and perform work independently
    • Meet deadlines for all work even when working on multiple projects
    • Show sustained effort and enthusiasm in quality and quantity of work.


WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

  • Work environment is inside an office, with moderate noise, temperatures typical to the office environment, and no exposure
  • The work is light work, requiring the occasional exertion of 20 pounds of force to move or lift objects.
