SUMMARY

Responsible for payroll & benefits administration, supporting retirement plan, vendor management, workers’ compensation, and supporting internal talent acquisition needs. The position provides a high level of service to employees and managers in answering questions related to HR policies and procedures.

PRIMARY DUTIES

Payroll Processing

  • Communicates with employees and managers on timesheet accuracy and timely submittal.
  • Ensures managers have up-to-date information on what to code timesheets for one-off situations, ex, FMLA, PTO and Holidays.
  • Reviews the “payroll change log” with the Sr. HR Generalist for each payroll.
  • Reviews payroll register with CPO for approval.
  • Sends payroll register to CFO for final review and approval.
  • Processes wage garnishments when received.
  • Provides timely responses to all payroll related questions from employees.
  • Serves as in-house expert for all payroll software systems and practices and keeps abreast of new laws and regulations.
  • Prepares journal entries related to Payroll for entry.

Benefits

  • Reviews ongoing changes within Paycom for benefits, retirement allocation, employee status and FLSA, etc.
  • Reconciles benefit invoices each month with HR Generalist and submits for approval to CPO via PaperSave.

Retirement Plan

  • Serves as a lead for the retirement plan administration to include working with Tribridge, T-Rowe Price and Definiti for any plan issues and concerns.
  • Uploads 403b contributions to retirement portal bi-weekly.
  • Communicates retirement plan details with new hires during orientation.
  • Responds to all retirement related questions from employees.
  • Assists in preparation for annual retirement plan audits.

Miscellaneous HR

  • Review and submit all invoices from vendors in PaperSave.
  • Submits all contract agreements along with W9s to accounting for proper addition into their system for payment.
  • Manage all workers’ comp claims.
  • Provide support to employees and managers with policy and procedure questions.
  • Assist with special projects at the direction of CPO.

Recruitment

  • Manage Job Postings (internal, website, academia, traditional media, social media, referral, staffing firms, etc.).
  • Maintain recruiting reports for candidates and interview processes.
  • Maintain an applicant tracking system, to ensure an adequate pipeline of candidates.
  • Pre-screen potential candidates prior to hiring manager interview(s).
  • Facilitate interview process for each opening.
  • Work with Director of Talent Acquisition & Compensation to formulate job offer letters and start dates.
  • Partner with department leadership, talent acquisition team, and human resources to ensure clear communication, collection, and maintenance of on-boarding documents

ADDITIONAL DUTIES

  • Ensures all inquiries are responded to in a professional manner within one business day or less.
  • Assists in researching any problems and makes appropriate adjustments/corrections in collaboration with Sr. HR Generalist to successfully resolve problems.
  • Monitors that follow-up contacts are being made at least every 48 hours until problems are resolved.
  • Works on special projects as approved by supervisor, balancing priorities to ensure projects progress simultaneously and within established deadlines.
  • Assists with annual audit preparation including any analysis schedules as assigned.
  • Maintains all Payroll related documentation in an organized manner.
  • Maintains a neat and organized work area including access to essential information.
  • Attend all staff and other meetings as directed.
  • Upholds the vision, mission and values of St. Vincent de Paul.
  • Performs other duties as assigned within the scope of the position.

QUALIFICATIONS

  • Bachelor’s Degree in related field.
  • 3-5 years of payroll and HR experience.
  • Intermediate computer skills in Microsoft Word, Excel, and Outlook.
  • Experience in automated electronic payroll software. Paycom experience a plus.
  • Must possess excellent written and oral communication skills, as well as interpersonal skills in order to effectively communicate with vendors, volunteers, and staff to provide clear instruction on expected deliverables and outcomes.
  • Possess excellent organizational and time management skills to be able to efficiently prioritize work and meet identified deadlines.
  • Ability to work under pressure, keep all work current and accurate, and respond to identified department deadlines with a sense of urgency.
  • Experience in a professional office environment.
  • Excellent problem-solving skills.
  • Ability to work independently.
  • Consistently demonstrate a team player attitude.

Job Type: Full-time

Pay: $62,000.00 - $69,000.00 per year
