Performs a variety of complex secretarial, clerical and records maintenance duties as needed to expedite the delivery of services and programs provided through and coordinated by the need of the clients and public that we serve. Computer knowledge includes excellent skills in Microsoft office, Google Suite, and Internet Use. Ability to learn new computer programs. Detail oriented with above average organizational skills, plans and prioritized to meet deadlines and excellent customer service skills; communicates clearly and effectively. This position is in-person from 8am to 5pm, Monday through Friday.
GENERAL PURPOSE
Performs a variety of complex secretarial, clerical and records maintenance duties as needed to expedite the delivery of services and programs provided through and coordinated by the mental health department. Performs routine reception and communication duties as needed to receive and direct incoming telephone calls and clients.
SUPERVISION RECEIVED:
Works under the direct supervision of the Executive Assistant.

PERFORMANCE EXPECTATIONS
General and Reception Functions
Operates personal computer terminal to utilize various work and data processing programs as needed to process departmental records, technical and/or statistical reports, file information and general correspondence
May transcribe from dictation equipment
Maintains records, files, indexes and books according to established methods and procedures
Compiles and tabulates data for records and reports.
Receives telephone and personal callers; responds to routing and non-technical questions; directs specific and technical questions to appropriate staff member.
May perform as backup to other secretarial or clerical personnel related to computer operations, general office maintenance or other related functions.
Coordinates Scheduling, prepares agendas and takes minutes for meetings and for other committees as necessary
Prepares other correspondence
Provide secretarial support to Administration & Clinical Directors and Executive Team.
Other duties as assigned
MINIMUM QUALIFICATIONS
1. Education and Experience:
A. Graduation from high school, plus two (2) years of specialized training including computer operation and data entry;
AND
B. Four (4) years of responsible clerical and secretarial experience;
OR
C. An equivalent combination of education and experience.
2. Required Knowledge, Skills, and Abilities
A. Working knowledge of
General office maintenance and practices
Recording and filing procedures and methodologies
Operation of word processor terminal or typewriter
Operation of standard office equipment
Basic mathematics
English standards, rules and practices related to written correspondence
General writing, grammar, spelling, punctuation, etc
Basic public relations
B. Ability to:
Communicate effectively, verbally and in writing
Perform basic mathematical calculations
Operate standard office equipment
Develop effective working relationships with supervisors, fellow employees and the public
Work independently and manage work assignments in a high interpersonal contact environment
Demonstrate maturity necessary in dealing with sensitive and confidential material
C. Skilled in:
10 key by touch
Ability to establish priorities
Work independently and proceed with objectives without supervision
Handle and resolve recurring problems
3. Special Qualifications
A. Type 50 wpm
B. Be proficient in various computer programs
C. Valid Utah Drivers License
