    TITLE: Administrative Assistant CLASSIFICATION: Non-Certified Staff QUALIFICATIONS: High School Diploma or GED Experience and/or job experience using secretarial (clerical) and computer skills REPORTS TO: Elementary Principal & Community Education Director
    JOB GOAL: To provide administrative assistance to the building principals, Community Education Director, staff and students in conducting the overall operation of the school building. This individual is responsible for assisting the daily work and activities of the school office and Community Education office. This individual will work directly with the staff, students, parent(s)/guardian(s) in a confidential and reliable manner that is vital for the smooth operation of a school. The Administrative Assistant is required to perform administrative work at a high level with minimal direction and supervision in an effective, efficient and trustworthy manner.
    CLERICAL DUTIES: 50%
    • Provide administrative support to the Principal, Assistant Principal & Community Education Director (BV & CE)
    • Answer phone calls and directs inquires/messages to appropriate person after determination of appropriateness (BV & CE)
    • Welcomes visitors and directs them appropriately (BV & CE)
    • Operate security system, door release, provide badges for entry in the building. Notify administration if an alert is sent. (BV & CE)
    • Conduct daily attendance. Collect classroom reports, account for children not present, enter data on JMC. Send communication via text, emails or letters when necessary (BV & CE)
    • Performs general office duties and is knowledgeable of all office equipment (BV & CE)
    • Collect and distribute mail for the day. (BV)
    ADMINISTRATIVE DUTIES 40%
    • Communicate effectively with the bus company. Using two way radios to assist with concerns or issues, request busing for field trips including any special needs requests. (BV & CE)
    • Coordinate conferences: set up conferences with JMC and PTCFast, prepare conferences, correspond with families, monitor and support as needed. Secure and coordinate with district interpreter EL conferences. (BV & CE)
    • Input new child information into JMC. (BV & CE)
    • Maintain and prepare various records, online reports/requests, preschool rosters, locker assignments, organize/update current students, transfer records to districts, incoming new students, and update year end test results and final grades. (BV & CE)
    • Assist with early childhood screenings, schedule, prepare information, communicate with parents, compile parent information, student files and day of screenings. (CE)
    • Assist with marketing materials for Community Education. (CE)
    • Communicate, create and maintain schedules for activities such as: picture day/retake, school patrol. (BV & CE)
    • Provides support and organization when an event is held in the building to best support the team or individual responsible. (BV & CE)
    • Utilize the Rschool systems for facilities and class registration. Schedule events, classes, meetings and programs. Assist customers with class registration, entering classes, and maintaining rosters. (CE)
    FINANCIAL DUTIES 10%
    • Verify and check in all purchase orders during the school year. (BV & CE)
    • Verify money, create deposits, and code appropriately and send to district office. (BV & CE)
    • Do monthly kindergartens milk totals. Report these numbers to Food Service Director and district personnel. Print monthly attendance totals and membership counts to Food Service Director. (BV)
    • Collect preschool tuition payments & send out late payment notices/follow up when needed (CE)
    • Maintain MDE/ELSA Billing (CE)
    • Create and send vouchers to district staff for Community Education. (CE)
