POSITION SUMMARY:

The Office Assistant will provide confidential administrative support to the Executive Director, office staff and the Senior Management Team.

ESSENTIAL JOB FUNCTIONS:

  1. Maintain files as needed for executive level activities and protect the confidentiality of all files, correspondence, and activities.
  2. Compile board agenda and packet.
  3. Attend board meetings and record minutes.
  4. Prepare executive level correspondence as required.
  5. Coordinate public relations activities and publications, logo usage, website design and maintenance.
  6. Research and complete special projects as assigned.
  7. Responsible for producing and dispersing a variety of agency marketing and informational materials to include: the annual report, newsletters, brochures, press releases, and report drafts to final copies of project presentations.
  8. Directly supervises front desk positions as to workload and job performance, as well as compliance with company policies. Provide backup to cover lunches, breaks and employee absences. 
  9. Oversee all aspects of general office administration and coordination, such as: answering incoming telephone calls, filing, sorting mail, ordering supplies, and maintaining supply inventory.
  10. Responsible for general office management such as workstation ergonomics, furniture and equipment service, maintenance, and repair.
  11. Responsible for maintaining a safe and healthy working environment, and to take reasonable care of their own health and safety at work and of all other staff. 
  12. Performs work-related duties as assigned.

Requirements

EDUCATION, EXPERIENCE AND KNOWLEDGE QUALIFICATIONS:

  1. Associate degree is required. Bachelor’s degree preferred.
  2. 3-5 years’ experience in general office and supervisory management. Experience in the housing industry a plus.
  3. Proficient with Microsoft Office Suite.
  4. Prior experience with general IT management preferred.

SKILLS AND ABILITIES QUALIFICATIONS AND OTHER REQUIREMENTS:

  1. Exceptional time management skills and capability to meet deadlines.
  2. Ability to work independently with minimal supervision. 
  3. Excellent oral and written communication skills.
  4. Proven self-starter and ability to take initiative.
  5. Ability to maintain confidentiality.
  6. Detail oriented and ability to prioritize multiple tasks. 

WORKING CONDITIONS/PHYSICAL DEMANDS:

  1. Prolonged periods of sitting at a desk and working on a computer.
  2. Periodic physical activity requires walking, climbing, bending, standing, lifting and stooping.
  3. Must be able to lift 15 pounds at times.

Sarting Pay $27.00 per hour
