JobSummary
The AdministrativeAssistant II provides complex administrative and clerical support.The ideal candidate will have one to two years or more experiencein a fastpaced office environment.
The candidate will have anunderstanding of general office procedures ability to communicateeffectively solve intermediate level problems assist with basicresearch respond to department inquiries (including communicationwith external customers) assist with the development andadministration of various departmental programs and reports as wellas perform administrative and office support activities formultiple managers and / or department.
Job Duties Some Examples of the job dutiesmay include :
Planning andcoordinating meeting arrangements including travel andlodging.
Calendar management of meetings anddetails for events and / or meetings for managers and / or fordepartment.
Making arrangements forpresentation materials and equipment and ensuring all eventarrangements are handled.
Composing andproducing documents maintaining relevant databases and relatedrecords.
Updating and maintaining departmentalwebsites.
Researching analyzing and summarizingdata for reports independently.
Assisting withdepartment budget process expense reports organize and maintaindepartment filing systems and other records.
Answering phones; route callers take messages respond to inquiries;greet visitors; request and provide routine information as well ashandles walkin inquiries.
Communicatingeffectively screening and prioritizing incoming calls.
Ordering supplies and equipment; making requests forrepairs and services; monitoring and updating inventory budget andaccount records.
Problem solving routineproblems and communications where the response is based on existingprocedures;
Responding to inquiries ondepartmental policies / procedures. May have to research informationto resolve problems or issues.
Typing andproofreading documents produced by others.
Creating maintaining and collecting data for standard reportscharts graphs spreadsheets and databases.
Beingexposed to confidential information and handling confidentialmatters.
JobRequirements
Minimum ofone to two years of administrative support experiencepreferred.
Intermediate Microsoft Office skilllevel or better in Word Excel and PowerPoint.
Internet search skills as relevant to the position andknowledgeable with using computer applications.
Standard report generation; office administrative practices andprocedures.
Skilled with meeting criticaldeadlines and good time management skills preferred.
Strong analytical problem solving basic research and timemanagement skills
Requires very good verbal andwritten communication and listening skills.
Ability to deal successfully with the public in person and over thetelephone.
Flexible and willing to assist withcoverage in other departments during fluctuations in volumevacation coverage or leave of absence coverage and as required bybusiness need and management team
Demonstratedability to handle multiple tasks in a fastpaced environment underminimal supervision with a high attention to detailpreferred.
Friendly and professional demeanorand initiative to seek improvements to processespreferred.
Good organization discretion andindependent judgment skills and ability to understand policies andprocedures preferred.
