Key Responsibilities:

  • Office Operations: Manage and oversee daily office operations. Answer phone calls and provide excellent phone etiquette. Greet visitors and ensure a professional front desk experience. Implement and maintain effective office procedures and policies. Maintain a well organized office environment.
  • HR and Payroll: Manage employee payroll and address HR-related inquiries.
  • Financial Management: Handle subcontractor invoices, payments, accounts receivables, and payables.
  • Project Support: Coordinate the procurement of construction drawings for printing and collaborate with Project Managers to submit monthly Pay Applications and invoices.
  • Vendor Relations: Execute vendor payments, deposit and retrieve checks
  • Financial Oversight: Track project invoices and assist project managers in maintaining accurate project budget records.
  • Insurance and Compliance: Ensure timely renewal of insurances and provide Certificates of Insurance (COIs) to clients upon request. Maintain subcontractor COIs and W-9s on file.
  • Filing and Documentation: Manage the company's physical and cloud-based filing systems, and ensure all organizational accounts and sign-ins are up-to-date.

Qualifications:

  • Previous experience in office management or a related role.
  • Strong organizational skills with attention to detail.
  • Proficiency in financial record-keeping and basic HR procedures.
  • Excellent communication and interpersonal abilities.
  • Proactive problem-solving mindset.
  • Desire to grow inside the organization.
  • Ability to adapt in a fast-paced construction environment.
