Administrative Assistant Job Description

Administrative Assistant will manage the front desk of Shenandoah Psychological Services. Administrative assistant will answer phones, maintain client records, coordinate appointments with clinicians, and communicate with insurance companies regarding benefit details and claims, and help keep the office clean.

Part-time hours starting between 15-29 hours per week, with the option of becoming full-time over the next 6-12 months to meet the growing practice's needs. Once full-time, employees are eligible for health insurance, vision/dental, life insurance, and short-term disability.

Reports to: Chief Operations Officer

Minimum Qualification Requirements:

  • Available to work Monday-Friday 8:00AM - 8:00PM (part-time hours negotiable within this timeframe)

Other Qualification Preferences:

  • Prior experience in a mental health setting.
  • Prior reception or administrative experience.
  • Previous experience with medical billing or working with insurance companies to handle claims.

Job Duties and Responsibilities:

  • Answer all incoming client calls and schedule them with the appropriate clinician within an appropriate time frame.
  • Check new client benefits before their first session and notify client of benefit details.
  • Communicate regularly with clinical staff regarding new appointments, benefit checks, and their availability.
  • Maintain our incoming call database, including tracking referrals.
  • Provide appropriate referrals to the community when we do not fit client needs.
  • Regular and reliable attendance and timely arrival to work is required.
  • Abide by all laws, rules, regulations, and codes of ethics that are binding upon or applicable to the services performed for Shenandoah Psychological Services.
  • Check new client files to ensure all intake paperwork is uploaded into electronic health records. Keep client files accurate and up to date.
  • Charge and collect payments from clients for services provided consistent with the policy and rate for such services as established by Shenandoah Psychological Services.
  • Assist in rectifying any denied claims with insurance companies.
  • Light office cleaning.
  • Other duties which may be assigned by Shenandoah Psychological Services.
