Summary of Position:

The successful candidate will have experience and/or education as in a legal or office environment with knowledge of file management with strong computer skills. Under the direction of responsible attorneys and other staff, the preferred employee will assist in scheduling client meetings, creating and maintaining client files, answering phones, filing at the appropriate courts and county offices, and other possible administrative tasks when necessary.

Essential Functions:

  • Perform the duties of the position with time constraints, interruptions, and busy attorneys and staff and be able to treat all matters in a discrete and confidential manner
  • Assisting with client engagement
  • Provide clerical, secretarial, and administrative support to all staff
  • Copy, distribute, send (via mail, courier, express service or e-mail), file, and otherwise handle legal documentation
  • Receive, screen and transmit telephone calls, conference calls, and messages to/from lawyers, clients, and staff
  • Process incoming and outgoing mail
  • Perform Firm administrative tasks, such as processing new client/matter reports, time reports, and expense reports
  • Set up and maintain files
  • Coordinate conferences, meetings and appointments
  • Assist attorneys with estates, trusts, and business transactions as needed;
  • Draft and assist in drafting deeds and related real estate title work;
  • Prepare pleadings, documents and all related requirements for filing and recording;
  • Interact with clients and courts, providing superior experiences to our clients and developing professional relationships with courts and county agencies;
  • Take ownership over case work, managing time and prioritizing responsibilities to consistently meet deadlines;
  • Prepare and process legal documents with the understanding that quality is essential;
  • Effectively organize and maintain client files; and
  • Monitor and calendar deadlines.

Physical Demands:

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand as necessary.

Qualifications:

  • Excellent writer and communicator;

· Prior experience in a law office or office environment preferred;

  • Degree, certification, or coursework in accounting, business, paralegal studies, real estate, or related field a plus;
  • Ability to multi-task, follow-through with projects, and give attention to details;
  • Proficient in computer skills and typing;
  • Friendly and clear verbal communication skills; and
  • Deadline and detail-oriented.

Knowledge, Skills & Abilities:

  • Applicants should have strong interpersonal and communication skills, the ability to effectively manage multiple projects simultaneously for a varied group of clients and the desire to work in a fast-paced and collaborative legal office
  • Analytical and critical thinker with strong communication and organizational skills
  • Proficiency with Microsoft office suite, especially with MS Word and MS Excel.
  • Experience with implementation and use of a client and document management database
  • Experience with law firm or other small business operations
  • Flexibility in terms of willingness and ability to perform a variety of tasks as needed
  • Self-starter who takes pride of ownership in projects and is willing to learn from others
  • Reliability in being in office on time and consistently during scheduled hours
  • Scheduling client calls and meetings
  • Scanning, copying, and filing documents
  • Interacting with clients who call or visit the office in a manner that builds and maintains client relationships
  • Managing Mail – certified, overnight, fax or USPS and maintaining tracking system for certified mail.
  • Creating and organizing files (for both existing and new clients)

Travel:

Travel to local courts, government offices, post offices, and/or to surrounding counties may be requested sporadically as well as general errands depending on the needs and availability within the office. The successful candidate must be willing to work in either the Chillicothe or Waverly office.

Schedule, Compensation & Benefits:

Our team works Monday through Friday, general business hours with flex time for necessities, paid holidays, and pay will be commensurate with experience. We offer 401(k) matching.
