Savannah Chatham County Public School System is Hiring a Building Bridges Academy- Administrative Secretary Near Savannah, GA

PRIMARY FUNCTION: This position is responsible for assisting and supporting school staff with secretarial and clerical requirements as well as customer service responsibilities to promote the efficient and effective operation in an alternative education setting.

REPORTS TO: Principal, Building Bridges Academy

SALARY SCHEDULE: G-7

WORK DAYS: 229

REQUIREMENTS:

  1. Education Level: High school diploma

Preferred:

  • Coursework or degree in secretarial science or business
  • Certification as a professional secretary
  1. Experience, Skill, and Certification: 
  • At least three years of experience in a secretarial or highlevel clerical role
  • High level of proficiency in word processing, spreadsheet, and other office-related software packages
  • Experience in work environments that include high volumes of telephone calls and walk-in customers
  • Demonstrable skills in both oral and written communications, including the ability to draft correspondence and prepare reports
  • Experience with standard office equipment and procedures
  • Ability to use judgment to make or recommend decisions related to escalation of issues or other related situationsbased on departmental, school or Board policy

ESSENTIAL DUTIES:

  1. Serves as the “first face and voice” of customer service for the school and, therefore, ensures that telephone calls are answered and routed promptly, and that visitors are greeted, signed-in, and directed to the proper place.
  1. Assists students who arrive late to school, who need to leave early, or who have other needs.
  1. Coordinates work orders for maintenance or other vendors and purchase orders, with approval of administration and to ensure that work is done or items are received, as well as the maintenance of all paper and electronic records.
  1. Acts as the school timekeeper and ensures accurate entry of employee time based on Board policy as well as maintenance of absence or leave documentation.
  1. Receives and distributes inter-office mail, paychecks, notices, and other information for staff and students.
  1. Assists administration in monitoring the school budget.
  2. Coordinates the receipt, accounting and deposit of student funds or other activity funds for the school.
  1. Assists with the coordination of various school events or projects such as student registration, fire drills, student pictures, staff evaluations, and other similar events.
  1. Assists the administration and staff by drafting correspondence, gathering data, preparing reports, maintaining files and other support functions.
  1. Performs other duties as necessary for the effectiveness of the school.

TERMS OF EMPLOYMENT

Incumbents will be considered “at will.” Appropriate pay will be determined based on the Grade as determined by Human Resources and allowable experience. The work calendar will be 229 days plus 10 extended year days (TBD). (G-7) Non-exempt.
