About Parking & Transportation Services (P&TS) As part of the Division of Student Life, Parking and Transportation Services (P&TS) collaborates across campus departments to support a diverse and inclusive University community in a manner that fosters safety and belonging, and that encourages student learning and success. POSITION PURPOSE
Under the leadership and direction of the Assistant Director of Parking and Transportation Services, the Office Manager oversees the office operations and provides administrative support to all parking programs on campus. This position is responsible for managing, coordinating and maintaining the office operations in an efficient and courteous manner in accordance with all Santa Clara University guidelines and standards. B. ESSENTIAL DUTIES AND RESPONSIBILITIES
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
1. Manage, implement and supervise all daily parking operations
2. Manage day to day operations and administration
3. Ensure all parking policies and procedures are adhered to and enforced in a fair and equitable manner
4. Process online parking permit applications & assign parking permits
5. Follow-up and communicate any permit application issues
6. Oversee the process of issuing complimentary visitor permits to non-SCU constituents participants of programs such as Carpool, Bicycle Commuter, Mass Transit, etc.
7. Provide and oversee the highest level of customer satisfaction by maintaining the highest level of service in accordance with Santa Clara University standards.
8. Provide customer service activities for the office; responding to all inquiries, providing general information to SCU constituents and guests, answering questions and resolving issues as they arise.
9. Supervise all student desk assistants and approve their time sheets
10. Coordinate and work with parking staff members, shift supervisors and Campus Safety staff on an ongoing basis.
11. Coordinate and facilitate street/ lot closures for other University departments, to support events, maintenance, and projects.
12. Prepare street/lot closure logistics documents and communicate plans to Campus Safety as needed.
13. Receive in-house parking citation payment and communicate with the citation agency to make sure the payment is credited.
14. Maintain positive business relationships and communication with vendors and outside agencies.
15. Provide evaluation of operations and suggest changes as necessary.
16. Processes all invoices, budget transfers and ensures accurate budgetary reporting through our financial systems.
17. Other duties as assigned by the Assistant Director of P&TS
C. PROVIDES WORK DIRECTION
1. Recruit, hire, train, schedule, supervise and evaluate all student desk assistant staff in the P&TS office.
D. GENERAL GUIDELINES
1. Recommends initiatives and implements changes to improve the quality of services offered.
2. Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices.
3. Maintains contact with customers and solicits feedback for improved services.
4. Maximizes productivity through use of appropriate tools; planned training and performance initiatives.
5. Researches and develops resources that create timely and efficient workflow.
6. Prepares progress reports; informs supervisor of project status; and deviation from goals. Ensures completeness, accuracy and timeliness of all operational functions.
7. Prepares and submits reports as requested and required.
8. Develops and implements guidelines to support the functions of the unit
E. QUALIFICATIONS

Knowledge
1. Understanding and knowledge in on-campus Transportation programs.
2. Ability to become proficient with multiple 'back-office' management software systems.
3. Demonstrate an understanding of diverse cultures and a respect for those differences.
4. Understanding and support of the Jesuit tradition of education and a commitment to the fundamental values of service to others, community, and diversity as well as a commitment to and demonstrated skills, knowledge, and awareness to serve the unique needs of the diverse campus community at Santa Clara University.
Skills
1. Proficiency in computer skills required. Knowledge of Google Programs (Docs, Forms, Excel) preferred.
2. Demonstrated knowledge and understanding of data information systems, preferably Workday and parking and transportation applications and programs.
3. Excellent oral and written communication skills.

Education
Bachelor's Degree preferred
Experience
Minimum 3 years of relevant experience in an administrative support role.

G. WORK ENVIRONMENT
The work environment characteristics described below are representative of those an employee encounters while performing the essential functions of this job. Employees will generally work in an indoor office environment with windows. Work environment involves frequent interruptions and some exposure to loud or prolonged noise levels from equipment.
