Administrative Support/Reception- Temp

Job Purpose

This position will support department management and staff. Duties to include answer phones and coordinate messages, appointments, information to callers, file maintenance, department office, document control ,supplies and mail. Researches, compiles and proofs word processing assignments. Operates automated office equipment. May be assigned to various functional areas of the company.

Nature of Duties/Responsibilities

  • Receives and directs visitors, employment applicants, salespersons and customers to appropriate locations.
  • In charge of running payroll reports and processing.
  • Manages our time keeping system.
  • Coordinate messages, appointments, and information to callers.
  • Maintains a visitors' log and issues badges when necessary.
  • Operates a multiple position telephone system to route incoming calls to appropriate party.
  • Perform related clerical work such as word processing and operate automated office equipment to make photocopies, faxes, and documents (phone, copier, fax, computer, ect).
  • Use company intranet, email, or other computer-based systems.
  • Mail sorting and distribution.
  • Coordinates and maintains conference room schedule.
  • Maintain company organization charts, employee directory, and phone list.
  • Provides administrative and clerical support to relieve department managers or staff of administrative details.
  • Order management of office supplies.
  • May be assigned to various functional areas of the company such as document control.

Education and Experience

  • High School Diploma required (Bachelor's degree desired).
  • 2-4 years relevant experience desired in managing payroll processing.
  • Excellent communication skills and phone etiquette.
  • Excellent organizational, interpersonal, and writing skills are required.
  • Strong computer skills with proficiency in Windows applications. (Word, Excel, PowerPoint); Must be familiar with Microsoft Excel.
  • Ability to successfully manage multiple tasks.
