JOB SUMMARY:
The Executive Assistant will work directly with our VP, Technical Operations (Head of Technical Operations) along with his Technical Operations Leadership (TOL) and provide a variety of standard and advanced administrative support that varies in complexity and sensitivity. The Executive Assistant will be a highly resourceful team player, who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient. The position requires the ability to exercise good judgment in a variety of situations and the ability to maintain a realistic balance among multiple priorities. This is a temporary, contract position.
ESSENTIAL FUNCTIONS:
  • Complete a broad variety of administrative tasks for the Head of Technical Operations, and as needed for his senior staff, as appropriate, including but not limited to travel support, itinerary creation, presentation coordination, expense reimbursement and invoice processing.
  • Manage his calendar and assist in prioritization, time management and maintaining deadlines while providing “gatekeeper” and “gateway” duties in order to create win-win situations for access to the Head of Technical Operations. This will include managing the scheduling and rescheduling of meetings with both internal and external parties, managing recurring meetings, along with ad hoc and/or urgent meetings.
  • Support the Technical Operations leadership team in planning, coordinating, and organizing meetings and events.
  • Prepare slide decks for internal meetings and external conferences.
  • Support with the preparation and handling of documents when required by the organization.
  • Process and monitor purchase orders and contracts for the Technical Operations organization.
  • Other duties and projects as needed.
EDUCATION, EXPERIENCE AND SKILLS REQUIREMENTS:
  • 8 years’ experience supporting C-Level Executives in the biotech or pharmaceutical industries.
  • BA/BS degree preferred or equivalent on the job experience
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Advance calendaring experience using MS Outlook and comfortable managing multiple leaders’ calendars.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability and demonstrated effective people skills.
  • Excellent written and verbal communication skills
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Ability to take initiative and work with minimal supervision.
  • Experience with MS Office: Outlook, PowerPoint, Word, Excel…Ability to schedule and run virtual meetings via Zoom.
  • This position will be located in our Brisbane office. There may be the need to be onsite at our Point Richmond facility along with flexibility to occasionally work remotely.

Pay Range
The anticipated salary range is for candidates who will work in our Brisbane or Point Richmond, CA offices. The final salary offered to a successful candidate will be dependent on several factors that may include, but are not limited to, the type and length of experience with the job, type and length of experience within the industry, education, etc. This salary range may not apply to remote positions that work in other states.
