    Elementary School Office - Administrative Assistant
    Full-Time (8 hrs/day during school year, 10 hrs/week summer)

    NATURE OF POSITION: Responsible for the daily operation of the school office and assisting the Principal/Co-director
    REPORTING FUNCTION: Reports directly to the Principal/Co-director or Pastor
    Duties may include any or all of the following:
    • Assisting in all aspects of maintaining a professional front office, including but not limited to fielding and directing incoming telephone calls to the appropriate staff member in a timely and courteous manner, transferring calls and/or taking messages, filing, copying, and faxing sensitive information.and responding to general questions.
    • Managing telephone message system (office hours, inclememnt weather, and other recorded messages)
    • Using basic clerical skills and knowledge of office practices and procedures that involve the operation of standard office equipment such as personal computer, copier, fax, and associated equipment that can be learned on the job within several months.
    • Greeting and welcoming visitors to the school respectfully and professionally and providing directions around the building as needed.
    • Maintaining computer database to register new and maintain current students, preparing rosters, grade books and assist parents with activating accounts.
    • Maintaining or monitoring the school computer database or filing system to update and maintain records as necessary.
    • Setting up all bus schedules for students through the multiple school districts.
    • Giving care to students who are ill or injured and administereing first aid or medication in accordance with school policy. This includes contacting parents when deemed necessary and maintaining a daily log of all students seen for health related issues.
    • Implementing policy on exclusion and re-admission of students with contagious disease as directed by school policy.
    • Performing other duties as designated by nurse, such as maintaining first aid kits and other supplies.
    • Completing all National School Lunch Program (NLSP) applications and claim entries on a monthly and yearly basis including direct certification and free and reduced lunches.
    • Accepting and processing tuition and school lunch payments from parents
    • Ordering and maintaining office, school, and religious supplies.
    • Handling communications and correspondences of different kinds.
    • Opening and routing incoming mail and preparing outgoing mail.
    • Preparing and managing the school calendar and adhering to deadlines based on the calendar.
    • Preparing school newsletters & maintaining school website as needed.
    • Providing administrative support to principal or other upper level administration as needed.
    • PerformIng additional duties as required due to unusual circumstances or as assigned by Principal/Co-director.
    POSITION ANALYSIS
    • As a visible representative of the school, this person requires excellent organizational and interpersonal skills together with problem-solving ability. The interests of the school come first in all actions and communications with others. Effective communication with teachers, office staff, parents, School Board and other school committees is an ongoing necessity.
    • This person should be a self-starter, capable of independent problem solving and decision-making within the scope of authority provided. Trustworthiness, reliability, willingness to maintain confidentiality and the ability to complete delegated assignments in a timely manner are essential.
    • The position may include some physicality, the ability to move through several buildings, as well as bending, climbing stairs, and lifting (at least 50 pounds).
    EDUCATIONAL/WORK EXPERIENCE REQUIREMENTS
    • High school diploma or GED is required.
    • Previous work experience.in an office setting is beneficial.
    • Computer skills
    • Clerical skills
    • Must be able to produce clearances and trainings as required by the Diocese of Harrisburg.
    • Must be willing to respect the teachings of the Catholic Church.
