SCOPE OF ROLE:

This Accounts Payable Specialist is responsible for timely entry of vendor invoices and prompt resolution of any issues or questions. This role is also responsible for filing invoices, maintaining the AP inbox, managing vendor records, reconciling corporate credit cards, and overseeing employee expense reporting. This individual will build positive working relationships with vendors and internal personnel for issue resolution.

KEY RESPONSIBILITIES:

• Assist in Direct Invoice Process
  • Ensure proper documentation, matching to Purchase Order and coding accuracy and enter direct invoices into the ERP system
  • Seek resolution on pricing and quantity discrepancies
  • Code and enter vendor credits on direct shipments
  • Follow proper cutoff of direct invoices at month end
• Expense Reporting Process
  • Review coding accuracy and enter expense reports into the ERP system
  • Follow proper cutoff of expense reports at month end, per company policy
  • Setup and maintain users in EPR system
• Credit Card Process
  • Ensure credit card transactions are entered into ERP system
  • Setup and maintain company credit cards,
  • Reconcile credit card bills each month
• Maintaining AP Inbox and Records
  • Monitor AP inbox
  • Respond to vendor requests
  • Maintain the A/P vendor files
  • Maintain vendor
• Other tasks
  • Backup and assist other AP personnel, as needed
  • Participate in regular meetings and projects
  • Complete other tasks and reports as requested

Qualifications

KNOWLEDGE, SKILLS AND ABILITIES (KSA’s):

• Associate degree in related field is recommended, but not required
• One to five years of experience in accounting or related field
