Key Responsibilities: Invoice Processing: Receive, review, and validate invoices for accuracy, completeness, and appropriate approvals. Enter invoice data into the accounting system and ensure coding and categorization accuracy. Investigate and resolve discrepancies or issues with invoices. Payment Processing: Prepare and process payments through various methods, such as checks, ACH, wire transfers, or online payment systems. Verify payment documentation and ensure adherence to payment schedules. Maintain accurate records of all transactions. Vendor Management: Collaborate with vendors and internal stakeholders to address inquiries and resolve payment-related issues promptly. Maintain up-to-date vendor files and ensure compliance with contractual terms and payment terms. Expense Reports: Review and process employee expense reports, ensuring compliance with company policies. Verify receipts, mileage, and other supporting documentation. Month-end Reconciliation: Assist in month-end closing procedures, including reconciling accounts payable and producing reports. Provide necessary information and documentation for financial audits. Compliance and Reporting: Stay updated on relevant accounting regulations and ensure compliance with all local, state, and federal tax requirements. Prepare and file sales tax reports and other regulatory filings as required. Process Improvement: Continuously identify opportunities for process improvements and efficiency enhancements within the accounts payable function. Implement best practices to optimize workflows.
