JOB SUMMARY: The Office Administrator is responsible for supporting the company by writing up and entering orders, and responding to customer queries. Also responsible for general administrative support in the form of scanning documents, entering purchase orders and invoices and answering the phones. The majority of time will involve accounting duties, but flexibility in other areas is critical as well.

*The ideal candidate will have the ability to think outside the box, and suggest improvements and efficiencies

for the various duties. He or she will be a self-starter, able to communicate clearly, work well with others,

and take on new responsibilities as they arise with company growth and expansion.

PRINCIPAL DUTIES & RESPONSIBILITIES:

Internal & External Customer Service

  • Supporting / assisting the sales persons in the execution of their duties.
  • Looking up shipment tracking numbers.
  • Assisting with shipping/receiving duties when needed

Order Write-Up / Entry

  • Preparing (writing-up) received orders in a timely manner 100% accurate, properly priced, same-day entry is the ultimate objective.
  • Accurately entering prepared orders into the ERP system 100% accuracy is the ultimate objective.
  • Entering new customers into ERP system.

Administrative/Clerical/Accounts Payable

  • Scanning documents into the ApEx digital paperwork repository.
  • Processing credit card transactions as necessary.
  • Processing of Customer Credits as necessary.
  • Sort through incoming mail and match up AP receivers with invoices.
  • Code AP invoices with appropriate ledger account.
  • Entry of purchase orders and/or invoices into ERP system.
  • Check generation, distribution and filing of backup documentation.
  • Coordinating the timely distribution of internal and external mail for the company.

Sales Reception

  • Handling incoming switchboard call traffic during pre-defined periods throughout the day.
  • Presenting a positive / professional image of the company by use of professional phone skills.
  • Handling routine customer inquiries by phone and/or email

Improvement Initiatives

  • This is ongoing, seeing opportunities for improved efficiency in all areas


QUALIFICATIONS: Superior administrative & customer service skills required! Experience with MAPICS XA / AS400 Operating systems preferred.

EDUCATION/EXPERIENCE

  • Knowledge and skills at a level normally acquired through the completion of a Bachelors degree or equivalent experience.

SKILLS, SPECIALIZED KNOWLEDGE, and ABILITIES

  • Strong customer service and communication skills.
  • Ability to handle multiple tasks in a fast paced environment with constantly changing priorities.
  • Ability to operate general office equipment (PC, Scanner, Fax, Switchboard).
  • Detail oriented with strong analytical skills.
  • Filing skills.
  • Ability to use Microsoft Office products Word, Excel, PowerPoint, Access.
  • Self-directed, with considerable initiative.

  • Additional Physical Requirements: file, speak, write, hear, read, type, see.
