PROVAIL has an exciting opportunity for a Program Assistant to join our team! In this role, you will support the administrative functions of the Supported Living Program. This role is pivotal in maintaining the smooth operation of our office, ensuring compliance and supporting our dedicated team in delivering high-quality services to our clients. This is a full-time position that typically works Monday-Friday during normal business hours but may require some need for occasional nights/weekends-based business needs. This is a hybrid role that requires at least 2-3 days onsite.

PROVAIL was founded in 1942 by parents of children with cerebral palsy. They created some of the first community services for individuals with cerebral palsy and other severe disabilities in the area. Our mission is supporting people with disabilities to fulfill their life choices. We help people decide how they want to live their life in the community and then provide the support services they need to act on those choices. We are one of the state's largest private, multi-service agencies dedicated to meeting the needs of children and adults with all types of disabilities.

What you'll do:
  • Provide backup support to administrative functions of the Supported Living Program, including data entry, filing, and printing compliance documentation.
  • Manage the ordering and inventory of office supplies.
  • Assist with archiving tasks as necessary.
  • Distribute mask fit test information and monitor completion. Participate in the safety committee.
Training Coordination:
    • Prepare rooms and gather attendees and supplies for trainings.
    • Manage sign-ups for training sessions and reconcile training documentation.
    • Collect and distribute certificates signed by trainers.
  • Reconcile receipts and complete requisition and purchase forms as directed.
  • Provide general support for the Supported Living Program hiring and onboarding processes.
  • Maintain records of staff compliance with minimum requirements, including state licenses and certifications. Prepare and send monthly reports.
What you'll bring:
  • Associates degree or equivalent educational achievement preferred. Alternatively, candidates with at least two years of relevant office experience are encouraged to apply.
  • Strong organizational and time management skills with a proven ability to prioritize tasks effectively.
  • Intermediate proficiency in Microsoft Word, Excel, and Google Workspace (including Gmail, Calendars, and Docs).
  • Excellent communication skills and the ability to establish and maintain effective working relationships with applicants, volunteers, clients, staff, and management.
  • Detail-oriented with a commitment to discretion and sound judgment
