Administrative Assistant

The Administrative Assistant is a welcoming and energetic individual dedicated to helping Prevail clientele, vendors, and company employees experience concierge-level service when engaging with the organization. Is an integral part of the Office Administration team, managing resources, troubleshooting, and creating a consistent, well-functioning environment supporting business initiatives. Strong organizational, interpersonal, and time management abilities are daily necessities as they support the Prevail team.

The ideal candidate is well organized, flexible, thorough, and self-motivated, with experience in handling a wide range of corporate administrative responsibilities. The ideal candidate must be able to function effectively in a variety of roles within a dynamic environment under minimum supervision.

This position requires frequent communication and coordination across multiple locations, executives, and staff, and will play a key role in shaping the team’s success.

The successful candidate for this position must be/have

Responsibilities

  • Office Administration
  • Work with a team to create, edit and maintain presentations and correspondence on behalf of supported executive staff
  • Prepare, organize, and distribute confidential and time-sensitive materials
  • Manage and write professional and personal correspondence
  • Provide backup support for peers
  • Manage calendar, commitments, and travel arrangements (planning itineraries, preparing agendas and meeting materials, completing expense reports)
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Client management including scheduling appointments, appointment reminders, setting up conference calls, and Zoom meetings, preparing documents, setting expectations, overall communication workflow
  • Assistant Duties
  • Prepare the executive for professional meetings and personal events
  • Manage emails, phone calls, and invitations with a wide range of business and personal contacts in a professional manner
  • Represent the executive and organization in a professional, polished, and intelligent manner
  • Manages expense report submission and reconciliation when necessary
  • Seamlessly manage travel arrangements, accompanied by detailed itineraries

Qualifications

  • 2-5 years of experience working in customer service
  • Expert knowledge of Microsoft Office suite including Outlook, Word, Excel, and PowerPoint required
  • Strong verbal and written communication skills
  • Strong organization and time management skills
  • Knowledge of QuickBooks
