About Us
Join our dynamic team at Premiere Aesthetics Institute, where innovation meets education in the exciting world of esthetics. We are seeking a proactive and detail-oriented Administrative Assistant to support our school and student spa. As the first point of contact for students, staff, and visitors, you will play a crucial role in maintaining efficient operations and ensuring a positive experience for all. The ideal candidate would be able to work ~20 hours a week total, between the hours of 10:00am and 4:00pm Monday through Friday.
Responsibilities
- Provide exceptional customer service by greeting visitors, answering phone calls, and directing questions to the appropriate administrative staff,
- Coordinate administrative tasks in the student spa such as scheduling appointments, managing the student spa schedule, processing payments through the school’s POS system, and assisting management with maintaining school supplies and inventory.
- Help the Assistant Director with the student enrollment process, including collecting/ organizing documents and scheduling school tours.
- Support administrative staff with various needs including preparing documents, collecting data for quarterly and annual reporting requirements by various educational entities, and organizing/auditing student records.
- Maintain accurate records and databases, including student files, attendance records, and financial documents.
- Assist with marketing and promotional activities as needed by the Assistant Director.
- Perform general clerical duties, such as copying, scanning, and filing documents.
- Adhere to school policies and procedures, including maintaining confidentiality of sensitive information and upholding professional standards of conduct.
Qualifications
- High school diploma or equivalent required.
- Minimum two years of finance/accounting experience strongly preferred, or 2-year college degree in comparable field.
- Esthetics education/background strongly preferred, but not required.
- Passion for the skincare industry and a commitment to supporting students in achieving their educational and career goals.
- Proven experience in an administrative support role.
- Excellent communication and interpersonal skills, with the ability to interact professionally with diverse individuals.
- Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple deadlines.
- Proficiency in Microsoft office Suite (Word, Excel, Outlook) and experience with database management and/or scheduling systems.
- Demonstrated ability to work independently and collaboratively in a fast-paced environment.
