Pogoda Companies is Hiring a HR Administrative Assistant/Receptionist Near Farmington, MI

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a key role in ensuring the smooth and efficient operation of our office. The Administrative Assistant will provide support to various departments, manage office tasks, and assist in daily administrative functions. This position requires excellent communication skills, attention to detail, and the ability to multitask effectively.

Responsibilities:

Office Management:

  • Greet and assist visitors, ensuring a positive and professional experience.
  • Manage incoming calls and correspondence, directing inquiries to the appropriate personnel.
  • Maintain a clean and organized office environment.

Administrative Support:

  • Assist in scheduling appointments, meetings, and conferences.
  • Prepare and distribute internal and external communications.
  • Handle basic bookkeeping tasks and maintain accurate records.
  • Manage correspondences from self-storage insurance, collections, and general liability insurance partners.

Data Entry and Documentation

  • Input and update information in databases, spreadsheets, and other systems.
  • Maintain and organize physical and electronic files.
  • Upload invoices into accounting software according to proper workflow.

Travel Coordination:

  • Arrange travel accommodations and itineraries for staff as needed.
  • Process travel expenses and reimbursements.

Meeting Coordination:

  • Coordinate logistics for in-office and virtual meetings, including room setup and audiovisual equipment.
  • Prepare meeting agendas and take minutes when necessary.

Vendor and Supplies Management:

  • Order and maintain office supplies, ensuring adequate stock levels.
  • Liaise with vendors and service providers, handling procurement processes.
  • Set up new team members and locations in vendor portals accordingly.

Human Resources Admin:

  • Onboard new team members.
  • Maintain employee records.
  • Help plan company events.

Property Management Software Admin:

  • Control administrative functions of software.
  • Process reports identifying key metrics.

Qualifications:

  • Proven experience as an Administrative Assistant or in a similar role.
  • Proficient in MS Office (Word, Excel, Outlook) and other relevant software.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Detail-oriented and able to prioritize tasks effectively.

Education and Experience:

  • Associate's degree or equivalent required; additional education or certification is a plus.
  • Previous administrative experience is preferred.

Requirements:

  • Ability to lift up to 50 pounds
  • Must have valid drivers license
