Job Announcement : HR2024 : 63 Position Title : Administrative Assistant Advertising : Tribal-Wide Immediate Supervisor : Director-Community Services Senior Operations Department Director : Division Director-Community Services Department : Community Services Division : Community Services Employment Status : Non-Exempt Position Type : Regular Full Time Mandatory Reporter : No Background Check Required : Yes (child-sensitive) Opening Date : Tuesday, April 23, 2024 Closing Date : Tuesday, April 30, 2024 by 5 : 00 pm Preference shall be given in accordance with the Title 33 (Tribal Employment Rights) of the Tribal Code / DFWP.

Overall Objectives of Position The Administrative Assistant is responsible for assisting in all parts of the daily operations within the Community Services Division as needed to meet the needs of the Tribal Community.

This job description is not an all-inclusive list of the duties and responsibilities of this position. The Administrative Assistant is expected to perform all duties and responsibilities necessary to meet the goals and objectives of applicable program.

The Administrative Assistant is expected to live the Purpose and Values of the Poarch Band of Creek Indians and will go beyond the call of duty.

Responsible for overseeing the Multipurpose Room, Teaching Kitchen, Conference Room, and Concession. Responsible for overseeing, managing, and collecting daily, weekly, or monthly mail orders for the division.

Responsible for managing all CSD employee’s certifications for new hires or existing employees. Responsible for managing and operating the carline, late drop offs, and late pickups.

Responsible for supervising the CSD receptionist and any temporary employee assisting with the front desk or carline. Performs other duties as assigned by the appropriate person.

Day-to-day Responsibilities Responsible for entering, updating, and maintaining daily data into Member Tracking System. Responsible for general errands that pertain to the department including mailroom, supply orders, or operating front desk.

Responsible for overseeing the safety of the carline process, as well as updating or reviewing documents / files. Responsible for supervising the appropriate staff including, but not limited to, general supervision, disciplinary actions, leave approval, timesheets, and other applicable approval when necessary.

Education / License / Certification and Experience Requirements Must have one of the following : a. Associates degree and / or b.

A combination of education and experience in a confidential office setting equivalent to two (2) years. One (1) year of supervisor experience preferred.

Must possess certification of Mandatory Reporter Training or obtain certification during the first week of employment. Must possess First Aid / CPR certification or obtain within the first ninety (90) days of employment.

Must possess certification of ServSafe Training or obtain within thirty (30) days of employment. Skills Required Absolute confidentiality.

Must possess a character that earns the confidence of the participants, parents, and community, and minimizes public criticism or complaints.

Adept at multi-tasking, have unquestionable integrity, with an uncompromising commitment to quality. Exceptional interpersonal and communication (verbal and written) skills.

Demonstrated proficiency in English, spelling, punctuation, and basic writing skills. Must successfully pass applicable knowledge, skills, and abilities exams.

Must have working knowledge of computers with the ability to work in a Windows environment with various software programs such as Word, Excel, etc.

Must successfully pass the required pre-employment computer skills exam. Skilled and mature in making valid judgements, demonstrated ability to establish workload priorities and balance diverse projects.

Skilled in operation of standard office machinery including a calculator, copier, facsimile, and other similar equipment.

Must be able to effectively work and communicate with other staff members and with the general public. Must be well organized and possess attention to details.

Must be people oriented and relate well to people from diverse backgrounds. Must be in good physical condition with the ability to sit, stand, walk, kneel, crouch, stoop, squat, and twist for an extended period of time as well as climb, lift, hold, and move objects weighing a minimum of thirty (30) pounds.

Additional Requirements Ability to work odd and irregular hours, as needed. Must successfully pass the required criminal and character background check.

Must possess a valid state driver’s license and an insurable driving record according to Tribal insurance guidelines. Ability to travel and participate in required training, leadership development and other events.

Ability to adequately and successfully perform all duties and responsibilities of this position. Every applicant must complete an application provided by Human Resources.
