Summary:

A professional services firm focused on Government customers, is seeking a knowledgeable administrative professional to support a military squadron in a General Clerk III role to provide administrative services in support of the Commander, Naval Air Forces (CNAF) FRS & VX Squadron Personnel department at Norfolk, VA.

Task and Responsibilities:

  • Follow clearly detailed procedures in performing simple repetitive tasks in the same sequence.
  • Responsibilities include filing pre-coded documents in a chronological file, or operating office equipment, (e.g., mimeograph, photocopy, addressograph or mailing machine).
  • This position uses some subject-matter knowledge and judgment to complete assignments consisting of numerous steps varying in nature and sequence.
  • Selects from alternative methods and refers problems not solvable by adapting or interpreting substantive guides, manuals, or procedures.
  • Be familiar with the terminology of the office environment.
  • Recognize problems and referred them to others.
  • Typical duties include: assisting in a variety of administrative matters; maintaining a wide variety of financial or other records (stored both manually and electronically); verifying statistical reports for accuracy and completeness; compiling information and handling and adjusting complaints.
  • General Clerk III may also direct lower level clerks. Positions above level IV are excluded. Such positions (which may include supervisory responsibility over lower level clerks) require workers to use a thorough knowledge of an office’s work and routine to: 1) choose among widely varying methods and procedures to process complex transactions; and 2) select or devise steps necessary to complete assignments.

Maintenance Department Administrative Support Services

Performance Objective: The contractor shall provide administrative services to support the Maintenance Department.

  • The contractor shall greet visitors in the office and department, and answer questions regarding office procedures and policies.
  • The contractor shall receive draft documents, enter into the tracking system, review each for completeness, prepare, proof, route for government review, and achieve according to established guidelines and directives.
  • The contractor shall make non-substantive changes real time. Recommendations for substantive changes shall be made to the Technical Assistant (TA) to the COR and Implemented by the contractor upon TA approval.
  • Establish and maintain a central reporting and record keeping system for all maintenance department administrative reports and correspondence, including tickler file to assure timely submission of recurring reports.
  • Implement all directives concerning distribution, retention, and disposition of administrative records and reports.
  • Maintain a master maintenance message board of current messages, annotated with appropriate actions taken. Maintain a message archive by Date Time Group (DTG) for a minimum of six months.
  • Maintain a current departmental roster board, automated or manual, and utilize this information to draft and submit the departmental muster report daily.
  • The contractor shall coordinate the department training requirements to include obtaining school quotas, preparation and distribution of Support Equipment (SE) licenses, and updating SE training and qualifications for assigned military personnel in the Advanced Skills Management (ASM) database.
  • The contractor shall receive Monthly Maintenance Plan (MMP) inputs from all departmental divisions and work centers.
  • The contractor shall prepare a smooth MMP and route to the Maintenance Material Control Officer (MMCO) and Maintenance Officer (MO) for review and signature.
  • The contractor shall implement changes approved by the MMCO or MO, and upon signature shall distribute the MMP to applicable personnel.
  • The contractor shall be designated a command Mail clerk in writing by the Commanding Officer.
  • The contractor shall pickup, drop off and distribute squadron mail to the work center level to include, but not limited to regular, certified, registered and classified mail.

Required education/skills background:

  • High school diploma or equivalent.
  • Must be authorized to work in the United States (U.S.).
  • Minimum three (3) years’ experiences in supervisory or managerial position in a U.S. Navy activity as a uniformed service member, civil servant or contractor employee performing routine Administrative, Personnel Administrative Support Services, or Travel Administrative Support Services duties.
  • Familiarity with one or more of the following systems/processes/functions is desired: Monthly Maintenance Plan (MMP); Electronic Service Records (ESR); Advance Skills Management (ASM); Fleet Training Management and Planning System (FLTMPS).

Required Work Authorization/Security Clearance:

  • This position is subject to a government security investigation.
  • Requires access to Personally Identifiable Information (PII), unclassified sensitive information, unclassified Department of Defense Information Technology (DoD IT) systems, and the host installation or squadron spaces.
  • Must be able to receive a Government Common Access Card (CAC), access Government systems, and requirements of Department of Defense (DoD) Instruction 1000.13 and SECNAVMAN 5510.30 (series) and SECNAVINST 5211.5 (series) prior to performing administrative services outlined in the PWS.
  • Shall possess and maintain a SECRET or Top Secret/Sensitive Compartmented Information Facility (TS/SCI) Security Clearance.

Position and Expected Hours of Work:

This is a full-time position. Days and hours of work are Monday through Friday, eight (8) hours per day. Evening or weekend work may be required as job duties demand. Hours are subjected to change based on the needs of the squadron. Occasional telework may also be required upon request of the customer or PKL.

Travel:

Five percent (5%) of travel may be required for job-related training attendance.
