Description

Summary:

The Marketing and Office Assistant plays a pivotal role in ensuring seamless office operations while providing vital support for marketing initiatives. This role uniquely combines administrative duties with marketing responsibilities, offering a diverse and dynamic work experience.

Essential Duties and Responsibilities

Include the following and all other duties as assigned:

  • Serve as the primary point of contact for internal and external team members, ensuring prompt and professional assistance.
  • Extend a warm welcome to visitors and provide them with necessary assistance throughout their visit.
  • Manage incoming calls efficiently, directing them to the appropriate recipients or addressing inquiries promptly.
  • Retrieve and forward voicemail messages to relevant personnel in a timely manner.
  • Assist in coordinating meetings, including logistical arrangements such as catering, materials preparation, and room setup.
  • Take minutes during various meetings as needed.
  • Provide valuable support for planning and executing key company events, such as the Annual Leadership Conference and Employee Appreciation Week.
  • Handle monthly expense reporting and reconciliation tasks with precision and attention to detail.
  • Facilitate travel bookings as needed, ensuring smooth arrangements for company personnel.
  • Maintain comprehensive contact lists for employees and external team members, ensuring up-to-date and accessible information.
  • Monitor and manage office expenditures and invoices, ensuring timely payments to vendors.
  • Administer office contracts for essential services such as postage, copiers, and telephones.
  • Fulfill miscellaneous errands and tasks to support office and organizational needs.
  • Contribute to the Employee Caring Committee's initiatives and activities aimed at fostering a supportive and inviting workplace culture.
  • Coordinate office maintenance requests and communicate with relevant parties for timely resolution.
  • Proactively procure and manage office and breakroom supplies and place orders as necessary to ensure a well-stocked and functional workspace.
  • Assist in supporting company-sponsored charitable initiatives and community engagement efforts.
  • Collaborate on managing social media accounts, including content creation, engagement, and analytics tracking.
  • Assist in organizing and promoting resident events, including the distribution of marketing materials.
  • Conduct competitor analyses and contribute insights to enhance the company's social media presence and strategy.
  • Develop and implement strategies to improve social media engagement and brand awareness.
  • Collaborate with the Director of Sales and Marketing to create and maintain a social media calendar aligned with company objectives.
  • Stay abreast of industry trends and technology advancements, integrating relevant insights into social media strategies.
  • Support social media advertising campaigns and track performance metrics for optimization.
  • Maintain awareness of resident and market demographics, and competitor information to inform marketing strategies.
  • Provide regular reports and recommendations to the Director of Sales & Marketing based on social media insights and performance.
  • Conduct web audits and assist in monitoring lead generation and conversion performance.
  • Assist with additional marketing and training projects as assigned, contributing to the overall success of the marketing team.

Qualifications

Education and Experience Requirements

  • High school diploma or equivalent.
  • Direct experience using social media management tools such as Meta Business Manager or Hootsuite.
  • Experience with Photoshop, Premier Pro, Canva or equivalent digital media editing tools a plus
  • An in-depth knowledge and understanding of social media platforms (Facebook, lnstagram, Linkedln, TikTok, etc) and how each platform can be effectively utilized is a plus!

Attendance and Travel:

  • Ability to work scheduled hours consistently as well as overtime when necessary.
  • Ability to travel to attend various company gatherings either in the general of your home, property, or another state.

Mental/Emotional Demands:

Must be able to work with persons who are in stressful situations due to nature of customer service environment; Must be able to calmly work under pressure; must be able to complete multiple tasks with competing deadlines

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up-to 15 pounds at times.
