Office Administrator
$50,000-$60,000

The Office Administrator is a professional who oversees daily office functionality and supports operational efficiencies for the office and other departments throughout the organization. They are responsible for coordinating meetings, appointments and directing various administrative, accounting, and HR related projects.

Office Administrator responsibilities:

  • Coordinate office activities and assist with operations to secure efficiency and compliance to company policies
  • Supervise administrative staff and divide responsibilities, as needed, to ensure performance
  • Keep stock of office supplies and point of sale material for sales team; place orders when necessary
  • This individual will be responsible for coordinating office activities and ensuring processes are maintained for daily workflow.
  • Accounts Receivable: reconciling invoices to payments, preparing and distributing monthly billing, and collaborating with sales team to recover payments for returned checks.
  • Ability to think critically, when resolving client inquiries regarding invoices and deliveries.
  • Manage and maintain phone calls through our voicemail system.
  • HR functions: payroll for hourly employees (time management), background checks for prospective employees, and maintain personnel files.
  • Familiarity with business contracts and the ability to liaise with account representatives for daily office functions.
  • Minimum intermediate skill level with office software: Microsoft Office, Google Drive, Sage

(preferable)

  • Basic accounting knowledge, with a minimum of 5 years total experience in Accounts Payable and

Accounts Receivable.

This role works independently with minimal supervision. The right person for this role will be highly organized, professional, and confident. You will need to maintain focus in an open office setting, while completing administrative duties, meet deadlines, and effectively communicate, verbally and in writing.
Success requires the ability to confidently oversee daily office processes. This individual must be able to effectively communicate with department managers throughout the organization, as well as upper management. Ensuring daily deliverables are managed with urgency and accuracy is critical for workflow throughout the organization.

Job Type: Full-time

Pay: $50,000.00 - $60,000.00 per year
