We are seeking a professional and friendly Medical Office Receptionist to join our dedicated team. Job Summary:
As a Medical Office Receptionist at Peak ENT Associates, you will be the first point of contact for our patients and visitors. You will play a crucial role in creating a welcoming and efficient atmosphere, ensuring seamless patient interactions, and assisting with administrative tasks.
Key Responsibilities:
Front Desk Duties:
Greet and welcome patients and visitors with a warm and friendly demeanor.
Check patients in and out, ensuring accurate and up-to-date information.
Schedule and confirm patient appointments, surgeries, and follow-up visits.
Answer and direct incoming phone calls professionally and efficiently.
Retrieve and respond to voicemail messages and email inquiries promptly.
Patient Service:
Provide excellent customer service by addressing patient inquiries, concerns, and requests.
Verify patient insurance information and collect co-pays and payments as necessary.
Maintain patient confidentiality and adhere to HIPAA regulations.
Assist patients with completing necessary forms and paperwork.
Administrative Support:
Assist with medical record management, including filing, scanning, and organization.
Support the medical team by preparing patient charts and records for appointments.
Coordinate referrals, records requests, and prescription refills as directed by physicians.
Assist with maintaining a clean and organized reception area.
Team Collaboration:
Collaborate with healthcare providers, nurses, and administrative staff to ensure smooth clinic operations.
Communicate effectively with colleagues to relay important patient information and updates.
Qualifications:
High school diploma or equivalent. Associates degree or relevant certification is a plus.
Previous medical office or healthcare receptionist experience preferred, especially in an Otolaryngology practice.
Proficiency in using electronic health record (EHR) and appointment scheduling systems, including the ability to type a minimum of 40 words per minute.
Excellent interpersonal and communication skills, both in person and over the phone.
Strong organizational abilities and attention to detail.
Ability to maintain a calm and professional demeanor in a fast-paced environment.
Knowledge of medical terminology and basic insurance verification.
Familiarity with Microsoft Office Suite (Word, Excel, Outlook).
