What are we looking for in our next new hire?

  • Bachelor degree in related field or high school diploma and equivalent experience.
  • Demonstrated ability to act as a leader, such as experience in managing a project, taking ownership of a role or task, or supervising others.
  • Demonstrates an understanding of job responsibilities and uses appropriate knowledge and skills to effectively complete work.

Preferences: 2 years healthcare experience. LPN or RN license.

Due to the nature and demand of the training program for this role, we ask that you are available end of April through June 2024 to complete the training without interruptions and do not have any time off or vacation requests during this time.

What will you do?
Acts as part of the clinical management trainee program (C-MIT), wherein the practice manager in Training participates in instructional and experiential learning over a designated period of time to gain leadership expertise and ultimately complete the curriculum. During the course of the program, trainees will be expected to oversee clinic operations including but not limited to personnel management, staff coordination and education, budget analysis to meet financial goals of clinics, compliance with governmental agencies, monitor and ensure patient satisfaction and represent the needs of the physicians. The sleeted candidate must possess excellent communication skills, judgment, and the ability to work in a fast-paced and evolving environment. Must be able to coordinate tasks from the mundane to the more strategic in a professional and confidential manner. Independent judgment is required to plan, prioritize, and organize a diversified workload. Position serves as a facilitator in change management within a fast-paced, dynamic environment.
Duties and Responsibilities include, but not limited to:

  • Develops, recommends, implements and maintains an overall organizational structure, systems, and staffing plan to effectively accomplish the goals and objectives of the clinic(s); ensuring timely and resource-efficient responses to clinic needs.
  • Manages all aspects of clinic operations while controlling labor costs and clinic expenses. Maintains functional knowledge of staff responsibilities.
  • Manages assigned staff including but not limited to hiring, training, supervising, employee engagement, performance management, and setting expectations, scheduling, and approving payroll. Initiates coaching, disciplinary action, and performance improvement planning utilizing direct and open communication, in order to address violations of policy and/or poor behavior or performance. Ensures new and existing staff attend and successfully pass Ambulatory Skills Orientation in accordance with established expectations.
  • Analyzes reports, prepares summary and develops plans for improvement of financial results, clinic productivity and operational benchmarks, executing change as appropriate.
  • Oversees all registration, scheduling and building/managing provider template functions to maximize clinic outcomes in collaboration/coordination with the Corporate Central Access team.
  • Maintains awareness of long and short term goals of the clinic(s), incorporating them in the overall administrative direction and coordination of services provided and in recognizing opportunities for enhancement of services.
  • Leads the patient satisfaction process for clinic(s). Analyzes results, develops plans, and executes necessary improvements.
  • Maintains liaison with all levels of administration, physicians, patients and outside organizations to coordinate clinic business, accomplish directives and to facilitate resolution of problems.
  • Contributes to the establishment, implementation and evaluation of short and long range goals, objectives, strategies plans, policies, procedures and guidelines.
  • Reviews, approves and correctly codes for proper allocation all requests for purchase invoices prior to submission to senior management.
  • Maintains and authorizes the ordering of pharmaceutical, medical and office supplies for the clinic maintaining reasonable supply levels and managing expenses to budget as appropriate.
  • Actively participates in department, division, or other organizational meetings and projects as assigned.
  • Participates in development and management of the annual operating budget and capital acquisition planning where directed. Manages petty cash expenses, bank deposits, etc. as appropriate.
  • Oversees staff health requirements are completed upon employment with the organization and annual thereafter. This includes all education and safety requirement review.
  • Responsible for compliance with all governmental agency requirements including but not limited to OSHA, Department of Labor, HIPAA, DEA, ADA, CLIA and all other compliance required at the clinic(s).
  • Reviews audits and clinical site evaluations and completes required intervention in a timely manner. This includes but is not limited to: Lab Audits, High Level Disinfection/Sterilization Audits, Pharmacy Audits, HIPPA Audits, Safety and Compliance Audits, and SWAT Audits.
  • Reviews Environment of Care on a monthly basis for completeness and accuracy.
  • Ensures required drills and mock drills are completed on an annual basis for the clinic and properly records completion with Compliance Department.
  • If a licensed healthcare professional, may be required to provide clinical care within scope of professional licensure as needed.
  • If assigned to an outreach clinic, serves as the liaison to the local community hospital and meets the expectations and commitments established by the agreement with the hospital and OSUP/OSUWMC.
  • Travel to satellite locations and clinic sites may be necessary to perform job duties
  • Ability to perform functions using job-related software and systems.
  • Attendance, promptness, professionalism, the ability to pay attention to detail, cooperativeness with co-workers and supervisors, and politeness to customers, vendors, and patients.
  • Other duties or special projects as assigned.
