Position Summary:

The Practice Manager is the person ultimately responsible for the successful day to day operation of the hospital. Their passion must not only be that of animals but also their people for who they are charged with overseeing. Given the ever changing and fast paced nature of this field they need to be someone who is positive under pressure. We need them to offer an exceptional customer service experience to both our internal & external clientele. We look for someone who has high level people skills along with excellent communication. As a leader you must not only know how to perform the tasks yourself but the ability impart this knowledge to the rest of your staff. You must possess the ability to inspire and motivate the hospital to want to perform not because they have to; rather because they want to due to them believing and sharing in the vision of the hospital.

Ultimately, we expect our practice managers to ensure exceptional veterinary care is being offered while ensuring our team is being cared for at the same time. This is achieved by setting the expectations within the hospital. Our Practice Manager will collaborate with the practice owner and additional management resources to define the hospital’s vision, brand, & culture to define a plan to ultimately grow the client base, all while using pet, client, & employee satisfaction to be our guiding compass. At the end of the day creating and maintaining a positive culture for doctors & staff is of paramount importance to us and a critical piece to our practice manager’s role.

Responsibilities:

Daily/Weekly/Monthly

· Creating staffing schedules including staff & DVM’s which meet the needs of the hospital

· Ensure that calls are being made to clients that have missed their appointments or have not come in for an appointment in a regular cadence

· Validate client reminders are being delivered appropriately for upcoming appointments & service due

· Processing invoices to ensure pricing/billing is accurate

· Reconciliation of daily & monthly transaction logs

· Following up to ensure clients are being responded to in a timely and effective manner

· Track weekly trends with provided resources areas new clients & patients, number of visits, revenue, staffing efficiencies, and COGS

· Manage and process payroll.

· Track/manage inventory and supplies based on hospital needs

· Social media account overview

· Facilitate weekly/monthly team meetings based on hospitals needs

· Schedule and conduct meetings with your staff to review performance based on hospital’s needs & expectations

Requirements:

Practice Managers are measured based on the overall performance of the hospital in terms of growth for areas as follows: revenue, number of visits, new clients, patient compliance, overall client experience, staff development, and DVM performance. Our managers must also the hospital is inclusive and engaging to allow who visit both staff & patients.

· Develop & maintain the vision of the practice

· Drive new clients & new pet visits to the hospital along with weekly revenue

· Tasks and responsibilities completed as instructed

· Analyze hospital & market trends to formulate a proactive course meet the needs of hospitals & their patients

· Identify employees unique needs & motivators to drive employee engagement

· Ensure there is cross department collaboration within the hospital to ensure hospital is operating to maximum efficiency

· Manage inventory to maintain cost of goods while meeting the hospital needs at the same time

Needed skills:

The Practice Manager needs to use critical thinking skills to assess & solve problems based on hospital’s needs. A high communication acumen is important to relate with clients, staffs, & doctors.

· Our leaders must come with a servant perspective meaning they can show humility & empathy

· At the same time, we expect the practice manager to possess vision for both the practice & their staff

· Skilled time management is critical meaning all expected tasks/projects are completed as set forth

· Being able to effectively assess various levels of personalities and determine the best methods to effectively communicate with them

· Must be able to motivate & inspire others to build team dynamics & meet identified goals

· Maintains a high level of accountability for staff and self

· Responsible for all acumens of the hospital including doctors, para staff, inventory, and budget for hospital profitability

· Use critical thinking to problem solve through thoughtful assessment to determine the best course of action

· Creating a culture of positivity is vital

· Maintaining professionalism in all situations is required for this role

· Being able to adjust to adversity and/or challenges is a must due to the fast paced nature of our field

Experience and Education Required/Preferred

· High school diploma is required. Bachelor’s degree preferred.

· 2-3 years of leadership experience required, preferably in the veterinary field.

· Experience with Microsoft Office

· Experience with Impromed is preferred but not required

Job Type: Full-time

Pay: $50,000.00 - $75,000.00 per year
