Position Summary
This recruitment will be used to fill one part-time (a maximum of 24 hours per week) Admin Operation Assistant position for the Tanguay Lab at Oregon State University (OSU).

The Administrative Operations Assistant plays a pivotal role in supporting the efficient functioning of our organization by providing comprehensive administrative assistance. This position involves a wide range of responsibilities, including administrative support, supply and expense management, financial administration, and web content management. The ideal candidate will be a self-motivated individual with strong organizational skills, attention to detail, and experience in business operations. This role offers an excellent opportunity for students enrolled in Business Administration or a related field to gain valuable hands-on experience in administration and business operations.
Position Duties
  • Administrative Support (40%): Coordinate the onboarding process for new hires, including paperwork and orientations. Organize and maintain documents related to ongoing projects on shared drives.
  • Supply and Expense Management (30%): Manage the procurement of office supplies and equipment. Handle expense reporting, including verifying accuracy and ensuring timely reimbursement.
  • Financial Administration (20%): Process invoices from vendors, verify accuracy, and ensure timely payments. Proactively follow up on outstanding payments and communicate with vendors to resolve any issues swiftly.
  • Web Content Management (10%): Maintain and update website content using Wordpress. Create and manage web forms as needed to enhance user engagement.
Minimum Qualifications

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
    • High School student: Regularly enrolled in a high school or participating in a home-schooling program
    • Undergraduate and post-baccalaureate student: 6 credit hours per term
    • Undergraduate international student: 12 credit hours per term*
    • Graduate student officially admitted to Graduate School: 5 credit hours per term
    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*
  • International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.
Additional Required Qualifications
  • Currently enrolled as a student at a college or university, pursuing a degree in Business Administration, Management, Operations Management, or a related field.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook. Familiarity with Wordpress and the ability to navigate and update website content effortlessly. Comfortable creating and managing web forms to enhance user engagement.
  • Strong organizational skills with exceptional attention to detail. Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Excellent communication skills, both verbal and written, with the ability to collaborate effectively across teams.
  • Previous experience in business operations is essential, demonstrating your ability to streamline processes and optimize efficiency.
  • Proven track record as a self-starter, capable of taking initiative and driving projects forward independently.
