The Workplace Events Coordinator Opportunity

The Workplace Events Coordinator will curate events, programs, and experiences that build and amplify Okta's mission, values, and culture.

The ideal candidate will excel at driving culture initiatives while building relationships with key stakeholders. This position requires strong customer service acumen to support a diverse onsite clientele. This individual will also need to be employee experience-oriented and have a hospitality mindset.

This is a full-time role based in our San Francisco Headquarters and reports to the San Francisco Workplace Site Manager. While we offer dynamic workplace policies that enable our employees to work from anywhere, this role requires you to be in the office.

What you'll be doing

• End-to-end coordination of all Workplace in office events, programs and initiatives in the San Francisco office
• Support employees with all onsite event logistics to create a memorable and seamless experience for all attendees - support everything from room bookings, event set-up/break down, furniture configurations, catering support to vendor management
• Assist with overseeing the event's budget and programming for the San Francisco office
• Collaborate with Employee Resource Groups & cross-functional partner teams to ensure that events and on-site experiences reflect Okta's philosophy to promote wellness and Diversity & Inclusion
• Develop and enhance our culture of Connection and Belonging through creative, collaborative events that engage and add to our employee experience offerings
• Organize and promote key company events & initiatives across all global offices - coordinate with Global Workplace Operations Managers to execute and align events across regions for cohesive and consistent programming
• Work closely with onsite Security team to ensure all events adhere to Okta's security protocols
• Build strong internal relationships with our employees, partner teams, and key stakeholders
• Assist SF Workplace Site Manager in developing event guides and employee resources to better streamline & communicate our processes
• Create office communications via slack and company intranet to promote Workplace events and other office related notices
• Support other Workplace tasks and projects as assigned to drive our visions, methods and targets

What you'll bring to the role

• A minimum of 3 years ofworkplace programs and/or event planning for a large company
• Background in Workplace Services focused on customer service and promoting a positive employee experience for employees and visitors
• Works well with others and is willing to lend a helping hand - no task is too big or too small mindset
• Extremely organized and is a strong multi-tasker with the ability to prioritize tasks effectively
• Experience working in a fast paced environment - respond and act quickly and accurately to requests
• Strong communication skills and high attention to detail
• Experience with heavy calendar management
• Experience using Google Suite & Slack
