O’Melveny is actively recruiting for a Marketing Technology Coordinator to support our Client Development Department. This position will be based in our Los Angeles office.

The Marketing Technology Coordinator is responsible for the day-to-day maintenance and user adoption of the firm’s Contact Relationship Management system Intapp OnePlace. Working in tandem with the Marketing Technology Manager, Client Development (CD) and Information Technology (IT) colleagues, the coordinator ensures the firm’s CRM tools meet the day-to-day needs of the Department and considers improvements to current systems and processes.

The individual will serve as a liaison among the CD Department, our vendors and service providers, and in-house technologists responsible for the smooth integration and maintenance of the CRM system. As such, the Coordinator must have a background in law firm (or a similar professional service industry) technology to ensure that complex technological applications are user-friendly and understandable by the CD user community.

The Coordinator will also be involved in ensuring user acceptance within the CD department as well as by the firm’s lawyers and their assistants. Success for this position means that the CRM and other marketing technologies are operating in sync with one another, have minimal system interruptions and strong user adoption.

The salary range in CA for this role is $65k to $75k and represents the firm’s good faith minimum and maximum range for this role at the time of posting. The actual compensation offered to a candidate will be dependent on a variety of factors including, but not limited to, the candidate’s experience, qualifications, and location.

Essential Duties and Responsibilities

The Marketing Technology Coordinator will work alongside the Marketing Technology Manager to maintain our Intapp OnePlace CRM system, which houses our contact and company lists, a relationship intelligence tool, modules that capture and archive the firm’s opportunities, activities, and experience information. Various CRM-related tasks include:

  • Handling and troubleshooting daily processing and data entry, with a primary focus on maintaining the integrity of the database.
  • Ensuring the firm’s contacts (prospects, clients, and alumni) are well-maintained; data is clean, de-duplicated; and processes are in place to share updated information with the firm’s lawyers.
  • Ensuring all marketing lists are current.
  • Assisting with maintenance of our alumni data, which includes ensuring accurate data flow between our alumni database/website, our employee database, our intranet, and our CRM to ensure information is populating and updating properly among all systems involved.
  • Working collaboratively with members of the BD team to ensure pitches, proposals, and activities are entered and updated in the CRM.
  • Ensuring that new, departing, or re-joining employees’ contact information is accurately noted in the system.
  • Assisting with conducting contact-management training for the CD Department, lawyers (or their assistants,) and the firm’s third-party support providers.

Email Marketing

The coordinator will work extensively in Vuture, our firm’s e-mail marketing program, which includes broadcast communications; event communications and registration forms; and alumni communications. Tasks include:

  • Ensuring the firm’s email marketing campaigns are reaching the right audiences by coordinating with practice leaders and Client Development Directors to maintain the integrity and effectiveness of our system of assigning contacts to specific topics, also known as “Areas of Interest.”
  • Managing automation of enterprise contact lists.
  • Setting up new mailing templates as needed.
  • Providing campaign analytics after each send and, if necessary, advising on adjusting campaigns to focus on particular user interests; and optimizing opportunities to connect with firm clients and contacts.
  • Providing reports to CD’s marketing and business-development team members to inform them about click rates and readership.

Experience System

Work collaboratively with the Department’s Marketing Technology Manager and Specialist to:

  • Add and update Experience records in Intapp to ensure that the firm’s experience database is regularly updated.
  • Report on analytics for top clients and top matters.
  • Assist with generating pitches and proposals using our automated document generation system PitchPerfect.

Content Management System (CMS)

  • Work collaboratively with the Digital Marketing team to publish periodically various updates to the firm public website CMS system, e.g., bio updates, client alerts, press releases.
