Nuclear Energy Institute is Hiring an Administrative Assistant Near Washington, DC

Primary Purpose:

This position reports to the Sr. Director, Human Resources & Workforce Development and is responsible for administratively supporting the entire department including HR and Workforce Development activities; supporting the basic recruiting and advertising activities; and performing specialized human resources projects as assigned.

This position requires significant interaction with external parties, including senior-level individuals from member companies and job applicants, requiring discretion and the ability to maintain confidential information.

Principal Duties and Responsibilities:

Assist with NEI’s Human Resources recruiting efforts, including:

  • Organizing and managing resume account and recruitment files.
  • Managing recruiting related correspondence.
  • Overseeing the notification process for all new employees and any internal employee changes.
  • Creating orientation schedules and organizational announcements for all new employees and communicating with multiple levels of leadership to ensure a smooth onboarding experience.
  • Set-up prescreen interview calls.
  • Posting job openings on online platforms.
  • Perform reference checks.
  • Prepare loanee agreements and extensions

Manage all postings to NEI's newly developed workforce website

Respond to requests for verification of employment

Utilize Dayforce database for HR related projects and reports.

Handle employee business card orders.

Assist creating employee events and support DE&I initiatives and activities.

Support industry workforce programs and initiatives.

Perform special projects, as assigned.

Meetings

  • Schedule and provide logistical support for small-medium sized industry or other meetings, including internal NEI training sessions, that may be on-site or off-site.
  • Coordinate with IST for on-site room reservations and setup.
  • Handle administrative logistics for NEI’s annual Training Week.
  • Take notes or minutes from necessary meetings.

Website Postings

  • Create, update and manage job content on NEI’s website through a content management system
  • Ensure that content on the NEI’s Industry Workforce Website is current, and add content as needed.
  • Update internal employee information on the appropriate platforms.

Administrative

  • Write, edit, review, prepare and send correspondence, NEI documents, etc.
  • Compile reports, agendas, background materials.
  • Create and/or edit PowerPoint presentations.
  • Maintain and manage calendars/schedules.
  • Identify and act on employee questions, inquiries, concerns by answering and routing phone calls and e-mails.
  • Help manage external groups on MS Teams.
  • Processing invoice, purchase orders and contracts in Netsuite
  • Draft annual holiday memorandum and macros
  • Update NEI’s floor plan as needed
  • Update Organizational Chart monthly and draft organizational email

Job Specifications:

Five years or more in an office environment

Knowledge:

  • Experience with posting information through a content management system
  • Thorough knowledge of office procedures
  • Thorough working knowledge of computer applications including but not
  • limited to word processing, spreadsheets, databases and presentation software; knowledge of Microsoft Office is essential
  • Experience with HRIS systems preferred

Job Type: Full-time

Pay: From $57,000.00 per year
