Northwood University is Hiring an Executive Assistant, Academics Near Midland, MI

The Executive Assistant, Academics will provide top quality administrative support to the Academic Dean, Northwood faculty, and others as needed.

Key Responsibilities:

  • Provide administrative support to the Academic Dean
  • Maintain calendars, coordinate agendas, and prepare reports and other materials
  • Process accounts payable and maintain chart of accounts
  • Manage electronic workflow processes
  • Generate timely communications to Northwood students regarding acceptance status, ID, and login information (NU Online, Graduate)
  • Send Academic Warning and Dismissal notifications
  • Organize and maintain Academics-related records and files
  • Collaborate with Department Chairs to plan, organize, and execute Advisory Council meetings for each department and prepare minutes
  • Assist faculty with various needs/requests
  • Provide support to the Registrar and Advising departments related to student persistence and administration
  • Send student non-attendance communications and other outreach as directed
  • Assist with new student orientation
  • Manage advising appointment scheduling
  • Assist with tasks to support student course registration
  • Manage Front Desk operations for Academics, the Registrar’s Office, and the Advising Department
  • Supervise student workers
  • Direct phone and in-person inquiries
  • Coordinate and assist in the planning of Academic-related events and activities
  • Support planning and preparation of signature and special events, as assigned
  • Support planning and preparation of experiential learning opportunities with Northwood University student groups, as needed
  • Ensure student travel compliance with University policies and procedures
  • Complete other duties as assigned

  • Abides by all conditions outlined in the University Employee Manual.

Qualifications:

  • Bachelor’s degree (preferred)
  • Minimum 5-10 years of secretarial experience in professional office environment OR 3-5 years executive-level secretarial experience
  • Proficient in using Microsoft Office programs (Word, Excel, PowerPoint, Outlook, Teams, etc.)
  • Have working knowledge of Colleague student information system or other enterprise database system
  • Experience with electronic workflow
  • Ability to work independently with minimal supervision
