Job Title Description: Human Resources Generalist (part-time)

Classification: Exempt

Reports To: Chief People Officer

Salary Range: $30,105 - $36,125 Based on Experience

Position Summary

The Human Resources Generalist (part-time) position supports the People Team in providing exemplary customer service, to both internal and external partners. This position reports to and works closely with the Chief People Officer to assist in all employee relations and staffing activities including identifying needs, improving employee engagement, retention, and overall organizational effectiveness by serving as a trusted advisor to management and staff on a broad range of human resources issues. This position requires excellent written and verbal communication skills, strong attention to detail, and strong organizational skills. 

Essential Functions

  • Serves as a point of contact for employees on all human resources related items including policy and procedures. Leverages the entire People Team as functional experts for guidance on more complex matters. Acts quickly and accurately providing answers (written, text, email, phone, in person
  • Prepare or maintain employment records related to events, such as hiring, termination, leaves, transfers, or promotions, using human resources management system software.
  • Coordinate with payroll team biweekly to ensure clear communication around employee changes that have been documented.
  • Maintain and update human resources documents, such as organizational charts, biweekly people operations communications, employee handbooks, or performance evaluation forms.
  • Compile and generate reports as need from HRIS and other software programs. 
  • Assist in the coordination of internal investigations.
  • Assist in the creation, tracking and delivery of HR related training topics.
  • Manage onboarding process including, but not limited to, preparation of offer letters, communicating pre-employment requirements to candidates and ensuring requirements are completed prior to start date, and completing background checks.
  • Facilitate job postings in applicant tracking system and third-party job boards, maintaining accurate job postings based on agency needs. 
  • Screen applicants and schedule interviews for hiring managers. 
  • Communicate professionally and effectively with all parties involved in the recruitment and onboarding processes, responding to inquiries in a timely manner, and proactively communicating to candidates throughout the onboarding process. 
  • Conduct reference checks, as needed. 
  • Maintain organized, accurate and complete employee files. 
  • Perform various administrative duties that support the human resources department.
  • Assist in ongoing process improvement initiatives.
  • Maintain confidentiality of sensitive information including but not limited to personal identifiable information, and information protected under HIPAA. 
  • Performs other duties assigned. 

Skills and Abilities

  • Bachelor’s degree and/or at least two years related experience. 
  • Proficient in Microsoft Office Suite, especially Outlook, Word, Excel, and PowerPoint 
  • Develop strong collaborative working relationships with team members, staff and hiring managers. 
  • Excellent verbal and written communication skills. 
  • Superior interpersonal and customer service skills. 
  • Self-starter with excellent time management skills, capable of prioritizing, planning, and managing competing demands in a strategic and thoughtful manner with a proven ability to meet deadlines. 
  • Strong attention to detail. 
  • Demonstrates an orientation towards continuous quality and processes improvement. 
  • Excellent problem solving, multitasking and organizational skills. 
  • Ability to function well in a fast-paced environment. 
  • Results driven, ability to demonstrate/quantify success relative to goals. 
  • Working understanding of human resources principles, practices, and procedures. 
  • Uses own judgment for routine decisions and discusses complex decisions with supervisor. 
  • Makes decisions within the scope of current policies and procedures. Obtains approval for deviation in procedure. 

Preferred Education, Skills, and Experience

  • Bachelor’s degree in human resources, Business or related field or equivalent work experience.
  • 3 years of HR generalist experience.
  • 1 years of recruiting experience.
  • Demonstrated ability to build strong professional relationships with employees, managers and HR team members and must keep information strictly confident.
  • Nonprofit experience helpful.

Supervisory Responsibility

This position has no supervisory responsibility.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

While performing the duties of this job, the employee is regularly required to communicate. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary. 

 Position Type and Expected Hours of Work

This is a part-time position. Days and hours of work are flexible, but the employee must be available during the "core" work hours of 8:00 a.m. to 5:00 p.m. and must work 20 hours each week to maintain part-time status.

Remote Work

Based on the Northern Illinois Food Bank’s Remote Work Policy and position evaluation, this position is not available for hybrid remote work.
