Job Summary

The Billing Specialist oversees the task of generating and sending invoices to assigned clients and monitors outstanding balances to ensure each account is paid on time and in full. Works closely with the Operations team and Clients to ensure accurate billing and to promptly resolve any issues that arise.

Duties and Responsibilities

  • Generates and sends invoices to clients
  • Ensures all time and materials are billed monthly
  • Upon completion of jobs, reviews all prior billing for accuracy prior to release of final invoice
  • Meets with project managers weekly or as needed to review job folders
  • Closely monitors outstanding balances; communicates with Project Managers and CFO regarding any delinquent accounts
  • Receives, sorts and tracks incoming payments
  • Addresses and resolves client questions and issues
  • Provides regular, accurate reports of billing data including list of unbilled jobs sorted oldest to newest
  • Assists with general accounting duties such as month-end close, journal entries, and other general or administrative projects and duties as assigned

Requirements and Qualifications

  • High school diploma; bachelor’s degree in accounting preferred
  • 3 years of relevant experience billing time and materials
  • Experience using construction/contractor accounting software; Foundations knowledge a plus
  • Professional, friendly with a customer-service mindset
  • Proficient in Microsoft Excel; advanced knowledge a plus
  • Possesses strong organizational and time management skills
  • Incredible attention to detail
  • Excellent written and verbal communication skills
  • Ability to work independently to achieve goals; as well as working collaboratively with team
  • Strong problem-solving skills

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer
  • Dexterity; use of both hands for keyboarding
  • Requires ability to walk, sit, stand, balance, stoop, bend, push, pull, lift, and reach
  • Must have vision, hearing, and ability to talk
  • Must be able to lift up to 25 pounds at times
