NCCF is Hiring an Administrative Assistant Near Greenbelt, MD

**This is a contracted role**


Position Purpose: The Program Assistant will be responsible for providing administrative support to Black Physicians and Healthcare Network (BPHN) Program.Essential Duties and Responsibilities:
  • Regularly receives visitors and telephone calls. Determines nature of calls in a professional manner and provides answers to inquiries based on general knowledge of the program’s functions or other available information. Triage requests to appropriate BPHN team member.
  • Maintains the administrative files, sorts, copies, and distributes external and inter-agency mail in a neat and orderly manner.
  • Orders and maintains supply of program marketing materials, outreach and education materials, office supplies and various other forms.
  • Coordinates logistics for program meetings and BPHN Coalition meetings. Prepares agenda and other materials, takes minutes, maintains a checklist of action items, and follows up on the status of action required for program meetings.
  • Collaborates with Program Director to organize BPHN health and wellness events in targeted community locations.
  • Provides administrative support as needed to BPHN Outreach and Education partners.
  • Prepares purchase orders, reconciles receipts, and required memorandums to accompany requests brought to the Program Director for authorization, approval, and signature.
  • Prepares program correspondence, letters, memos, and other related textual material based on brief verbal notes, rough drafts, or available data, for approval by Program Director.
  • Presents finalized material to the Director for signatory approval, release, dissemination, and filing.
  • Serves as a trusted liaison to the staff, contractors, and vendors.
  • Attends and provides support at BPHN sponsored program events.
Metrics:
  • Increase utilization of health and community resources by black residents.
  • Customer satisfaction survey 90% response.
Minimum Position Requirements:
    • AA or BA degree and two years related experience or equivalent.
    • Knowledge of principles and practices of administrative work and organizational behavior.
    • Exceptional interpersonal communication skills, well-groomed presentation, and strong team workability.
    • Ability to type 50 wpm, without error, and demonstrated computer skills.
    • Ability to relate appropriately and consistently to staff and donors under demanding stressful and fast-paced circumstances.
    • An attitude compatible with the goals and purposes of The National Center for Children and Families.
Physical Demands/Work Environment:
  • While performing the responsibilities of the job, the employee is required to talk and hear. The employee is often required to sit and use their hands and fingers to handle or feel. The employee is occasionally required to stand, walk, reach with arms and hands, climb or balance, and stoop, kneel, crouch, or crawl. Vision abilities required y this job require close vision working with a computer monitor. While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts and vehicles. The noise level in the work environment is usually quiet to moderate. While performing the responsibilities of the employee’s job, these work environment characteristics are representative of the environment the Human Resources Director will encounter.
