Mossyrock-High School ~ ASB Administrative Assistant (Long Term Substitute)

HIGH SCHOOL ASB Administrative Assistant, BOOKKEEPER/ASSISTANT SECRETARY

JOB SUMMARY: Responsible for student body accounts. Serves as administrative assistant to the principal and counselor.

QUALIFICATIONS: 

  • A high school diploma or equivalent
  • Demonstrated ability to accomplish the major duties and responsibilities listed below
  • Proficiency in the use of Microsoft Office Suite—Word, Excel, and PowerPoint or the equivalent in similar applications

CERTIFICATIONS AND LICENSES: 

  • Satisfactory results from fingerprinting and background checks
  • Secretarial Professional Standards Certificate (desired, but not required)

MAJOR DUTIES AND RESPONSIBILITIES:

  • Perform such school-related duties as assigned by the principal.
  • Collect, receipt, and deposit student body monies according to acceptable accounting procedures and the instructions of the principal.
  • Supervise the processing of purchase orders, invoices, vouchers, etc. Dispense monies according to the established procedures.
  • Prepare change boxes and ticket sales reports for all athletic activities, concession sales, club or team fundraisers, or any other activity requiring a cash box. Reconcile with advisor/worker who turns the cash box back to the office.
  • Oversee/staff the student store.
  • Collect, receipt, and deposit all monies received for damages, other fines (such as fines for lost textbooks), student fees, photo copies.
  • Keep accurate records of receipts and expenditures for all student body accounts. Balance books and prepare budget reports on a monthly basis or as required.
  • Prepare financial records for audit. Assist with audit as required.
  • Write admit slips to those students who have been absent. Assist in maintaining attendance records. Follow up on absences by making calls to parents/guardians of students who are absent.
  • Assist in establishing, maintaining, and updating student cumulative files and student database records.
  • Assist in ordering, distributing, and taking inventory of supplies and equipment.
  • Operate a variety of office equipment. Assist in completing clerical duties for the principal and counselor, to include word processing, filing, and distributing of correspondence, reports, memorandums, announcements, newsletters, agendas, etc.
  • Greet students, parents, and callers. Answer routine inquiries, furnish information and direction, and relay messages and instructions. Place telephone calls as needed.
  • Route mail to personnel.
  • Notify parents of excessive student absences, tardies, and discipline referrals by mail.
  • Assist in receiving and filing written excuses for student absences. 
  • Enter discipline referral data.
  • Prepare the daily bulletin, correspondence, and newsletters.
  • Assist the athletic director in preparing certificates for honoring students and student athletes.
  • Place orders for concession stand, pop machine, and student store; shop for product as requested.
  • Maintain a calendar for events and use of secondary school facilities.
  • Greet and refer visitors, answer telephone and provide general information, take messages or refer to the appropriate person.
  • Schedule appointments, meetings, and conferences as appropriate.
  • Cross train with other administrative assistants in the district as time permits and fill in for them when asked.
  • Deal with students, parents, staff, and others in a positive encouraging manner.
  • Know and follow district policy and chain of command.
  • Act ethically and confidentially in all aspects of employment.

Physical Requirements:

Ability to bend, stretch, twist, walk, or reach requiring ordinary physical effort; ability to listen with more attention than in normal daily living; more than ordinary skills and speed using fingers, hands, and limbs; willingness to work with children.

QUALIFICATIONS:

  • High School Diploma
  • Competency in the areas of reading, math, and language arts
  • Meet federal guidelines and Washington state requirements for paraprofessionals
  • Ability to relate to and work with children
  • Ability to work with other staff members and parents/guardians
  • Ability to maintain confidentiality
  • Ability to organize time and maintain a schedule
  • Ability to follow teachers' directions

Preferred Qualifications:

  • Previous successful experience working with school age children

Work Schedule/Pay: 7.5 hrs/day - $16.00/hr.
