Office Assistant/Receptionist for a Small Law Firm
Qualifications:
· Customer Service experience preferred but not required
· High School Diploma or equivalent
· Excellent telephone, communication, and social skills including the ability to handle stressful situations patiently and tactfully
· Sensitivity, patience, and compassion for clients
· Exceptional attendance and punctuality
· Proven record of working cooperatively and effectively with other staff
· Proficiency with PC operating systems preferred
· Careful attention to detail
· Ability to handle difficult situations and challenging clients in a respectful manner
· Bilingual (Spanish/English) encouraged but not required
Responsibilities:
· As the Administrative Assistant you will be supporting attorneys and other staff members
· Training will be provided – You will need excellent communication skills both written and verbal in order to communicate with clients, adjustors, and other attorney offices
· Answer telephone calls and direct callers to appropriate staff or take messages
· Greet scheduled and unscheduled clients, and guests, for meetings held at the office
· Retrieve and forward voicemail messages
· Retrieve and forward incoming faxes
· Check and process mail
· Print postage and maintain the postage station
· Maintain the reception area, copy room, and conference room.
· Open New Files both physical and electronic
· Perform general office support duties, including making envelops and copies
· Special projects as requested by other staff
