Job Synopsis

The administrative assistant works as part of an administrative team and provides administrative support to International Program staff and constituents for MCC U.S. The position serves as the liaison between Global Service Learning (GSL) and Human Resources (HR) for such programs as: Young Anabaptist Mennonite Exchange Network (YAMEN), Serving and Learning Together (SALT), Seed & Seek. The position relies heavily on organization, computer, interpersonal skills, and attention to detail.

Essential:
  • High School Diploma
  • Over One Year-Up to Three Years of related experience OR an equivalent mix of education and admin assistant experience.
  • Excellent written, oral, and interpersonal communication skills.
  • General office, data entry, MS office, database, internet, email, and multi-tasking skills.
  • Ability to take initiative and responsibility and to follow through on tasks with little supervision.
  • Personable manner, in person and on the telephone. Good relational skills.
  • Flexibility/willingness to be interrupted and to handle multiple tasks simultaneously.
  • Experience in scheduling and managing tasks.
  • Ability to be pleasant in the face of a demanding schedule and constantly changing circumstances.
  • Notary, or willingness to become a notary
  • Strong organizational skills.
Employment eligibility: Legally eligible to work in the U.S. MCC offers of employment are subject to successful criminal background check(s).
Preferred:
  • International program experience with MCC
  • College degree.

Key Responsibilties
Specific Tasks and Duties: Clerical 40%, Admin/Coordinate 40%, Relationship Building and Networking 20%
GSL:
  • Review general inquiries about SALT before application and respond or forward information to appropriate staff for response.
  • Provide visa information/support for SALT participants.
  • Process reimbursements needed for visa applications and other visa costs as per SALT policy.
  • Assist program coordinators of SALT and YAMEN with participant preparation and tasks before, during and after assignment.
  • Provide back-up logistics for SALTers and YAMENers as needed and requested by GSL.
  • Provide administrative support to GSL departments when needed, including travel logistics for the Seek discipleship program.
  • Provide background checks for visa purposes for each participant.
  • Send letters, prayer cards and guarantee letters to churches related to GSL participants.
Hosting:
  • Provide hosting and logistics for International Program staff visiting Akron, attending orientation, and waiting for visas, as well as for story tellers and other office visitors.
  • Help coordinate and host Lunch and Learn events for International Program and other departments.
  • Schedule and provide logistics for the virtual sector briefings with the Area Directors (ADs) and Planning, Learning & Disaster Response (PLDR) staff.
Storytelling/Itineration:
  • Provide initial connection with MCC U.S. supervised ADs for recommendations for storytellers and forwarding recommendations to Regions and Provinces.
  • Serve as the point person for the MCC Storytelling Community, assists with schedule and travel logistics.
  • Administers International Program contact forms for international storytelling process including contact requests for itineration.
Security Standing Committee:
  • Provide administrative support to the Security Standing Committee.
  • Work with the security specialist to provide monthly security newsletters, facilitate updates to security manual templates for MCC programs.
  • Update the virtual mailing list for the security quarterly newsletter four times a year prior to each emailing.
Other:
  • Provide At-A-Glance updates as needed.
  • Manage MCC credit card statements and distribution for MCC U.S. supervised Reps and ADs in collaboration with Financial Services.
  • Provide administrative support to several working groups and committees.
  • Provide back-up support for other Administrative Assistant tasks in Programs during peak seasons and absences.
Supervision: Not direct supervision
Travel expectations: Negligible
Physical Activity/Demands: This position occasionally has the need to ascend/descend stairs, move about to accomplish tasks and move objects up to 20 pounds and operate motor vehicles. This position constantly has a need to remain in a stationary position, perform repetitive hand motions and assess the accuracy of work assigned. This position will occasionally be exposed to a noisy environment. For safety reasons, this position will work with maintenance department in order to rearrange or remove heavy objects from storage and return them to place.

Salary Details

Base salary: $18.97. Starting salary may be adjusted up to $21.08 based on previous experience.
