Melmark is Hiring an Admin Assistant Day Program Near Lawrence, MA

General Responsibilities

The Administrative Assistant maintains support to the Adult Services relating to correspondence, filing, phone, mail services, typing, editing, coordinating special events, assisting in projects related to the adult day program and adult residential services.

This position supports Melmark New England’s mission to serve individuals with autism spectrum disorders, acquired brain injury, neurological diseases and disorders, comorbid mental health disorders and severe challenging behaviors. It is required that employees demonstrate their understanding of that service mission through their work behavior and commitment to the Individuals and the staff who are directly involved in the delivery of that service.

All staff are expected to adhere to Melmark’s Code of Conduct and Standards of Professionalism included in the Employee Handbook. It is the responsibility of each staff member to read and familiarize themselves with the contents of the Employee Handbook and ask questions relative to the application of these standards in the workplace if unclear to the employee.

Essential Functions

  • Reports on duty at assigned time; reports absence as far in advance as possible, but in no case later than normal reporting time.
  • If resigning from the position, all positions require a minimum of four weeks’ notice. Management positions are required to give additional time dependent on the size and scope of the position but six weeks would be considered minimum. Melmark New England retains the right to refuse professional reference except as legally required to those employees who do not give proper notice.

Individual Health and Safety

  • Immediate nursing notification of health issues appropriate to each Individual.
  • Evacuates Individuals properly during fire and emergency drills.
  • Promotes safety of self and individuals through adherence of safety policies which may include body positioning, physical management techniques, Universal precautions and proper lifting of Individuals.
  • Maintains a clean work environment at immediate work space and a clean environment in the school building.

General Performance Skills

  • Follows all MNE policies and procedures that are designed to maintain the safety of those who live at MNE, visitors and employees.
  • Works independently in a safe and appropriate manner.
  • Demonstrates both problem solving and problem-prevention skills.
  • Demonstrates empathy and good communication skills.
  • Recognizes time as a valuable resource and manages time in an appropriate manner.
  • Works carefully with attention to detail.
  • Displays good organizational skills and utilizes resources wisely. Prioritizes work and initiates communication with alerting supervisor if task cannot be completed in the assigned timeline.
  • Is consistent in completion of job duties; does not require multiple cues or reminders from supervisors to complete regular job duties.
  • Develops priority lists on a weekly basis for supervisors.
  • Provides positive services that communicate MNE’s mission and philosophy.
  • Has appropriate dress to work as defined in dress code.
  • Remains flexible with changing priorities in the office.

Task Organization

  • Types, revises and distributes forms, memos and mail.
  • Creates and updates school contact sheets for parents, school liaisons and transportation.
  • Maintains filing system for office.
  • Ensures space reserved for meetings.
  • Completes all other duties as assigned by supervisor.
  • Distributes ISP notification mail for upcoming meetings to appropriate parties.
  • Provides copying/faxing support, correspondence and as needed.
  • Assists in enforcing HIPPA regulations.
  • Tracks weekly Residential Transport data and emails results to all Directors no later than the following Monday morning by 9am.
  • Keeps electronic files organized when new Individuals are added.
  • Schedules vans for all necessary appointments, jobs, trips.
  • Ensures visitors sign in, are given visitor tags and do not roam the building without a designee.
  • Tracks individual attendance and shares weekly with business office.
  • Tracks and orders office supplies as needed.
  • Manages copy machines and problem solves as needed.
  • Tracks busses and van information as needed for drivers.
  • Ensures mail is picked up daily.
  • Manages parking passes for staff.
  • Tracks postage needs.
  • Ensures conference rooms are neat and orderly; clean and set up for each meeting.

Basic Qualifications

Education/Training: High school diploma or G.E.D.; prefer college and/or administrative background.

Certifications/Licensure: A valid US driver’s license and a minimum age of twenty-one (21) years old. Must meet Massachusetts Criminal Offender Record Information (CORI) background check requirements. Successful completion of employer provided certification in CPR and First Aid.

Skill(s): Requires basic computer skills (proficiency with Microsoft Office: Word, Excel, PowerPoint; Microsoft Outlook) and exceptional organizational skills.

Experience: Minimum of two to five (2-5) years office support experience.

Interrelationships: Works cooperatively with all members of the multidisciplinary team (Nursing Services, Vocational Services, Clinical Services, Residential Staff, Allied Health Services).
