Job Description:

The Administrative Assistant assists the Dean of Graduate & Professional Studies (GPS) in the administration and management of GPS which has an enrollment of approximately 1000-1200 students and offers 27 master's and post-bachelor's certificate programs.

Responsibilities

  • Provides support for the Dean as needed.
    • Manages his or her schedule.
    • Troubleshoots faculty, staff, and student issues.
    • Prepares correspondence.
    • Assists with searches.
    • Reviews and approves all announcements to graduate students, program coordinators, and others.
    • Prepares the agendas and minutes of Coordinator Meetings and other meetings as assigned.
    • Provides administrative support for the annual coordinator meeting.
  • Serves as a backup DSO for GPS.
  • Supports outreach activities and GPS events as needed.
  • Provides assistance to the Associate/Assistant Dean of GPS as needed.
  • Provides assistance for faculty, Program Coordinators and staff with administrative needs.
  • Supports program reviews and assessment activities.
  • Assists faculty in ordering textbooks.
  • Assists in collecting and assembling data for the purposes of GPS program assessment.
  • Supports designated GPS program coordinators in the administration of their respective programs.
  • Manages the day-to-day operations of the Graduate and Professional Studies Office.
    • Administers GPS budget, responds to requests from finance for information, and processes bills.
    • Oversees building maintenance, office space, and furniture needs, including submission of work orders for second and third floor Merritt.
    • Schedules the conference rooms on second-floor Merritt Hall
    • Coordinates leave schedules of classified and administrative GPS staff to insure office coverage.
    • Orders supplies as needed for GPS/Education
  • Provides administrative support to meetings of the GPS faculty committees including scheduling, distributing agendas, recording minutes, maintaining record repositories, etc.
  • Assembles and maintains each term a complete collection of all syllabi in GPS and education.
  • Administers scholarship and award programs.
  • Performs other duties as assigned.

Requirements:

Qualifications

  • High school diploma required. Associate of Arts preferred.
  • Experience in an office environment in a supportive role. Experience as an administrative assistant preferred.
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks.
  • Ability to work independently.
  • Excellent interpersonal and communication skills, strong writing skills.
  • Professional knowledge and ability to operate a computer, including Microsoft Office Suite (Outlook, Word, Excel etc.), and other office equipment.
  • Experience with Ellucian (Colleague) and Informer systems preferred.

Working Conditions

While performing the duties of this job, the employee is routinely working in a normal office environment with minimal exposure to adverse conditions. The noise level in the work environment is usually minimal.

Physical Abilities

The physical demands described below are representative of those that must be met by an employee to successfully perform the essential functions of this job:

  • Sitting for long periods of time.
  • Some bending and stooping when working with files.
  • Limited lifting involved but not more than 10 pounds at a time.
  • Finger dexterity for typing and use of other office equipment.
