Administrative Assistant

Mat-Su Health Services is seeking an Administrative Assistant to join our team!

Summary: This position performs supportive functions for the agency’s operation, including but not limited to clerical support and assistance to senior managers, planning meetings and taking detailed minutes, marketing efforts, maintenance of the agency’s Intranet (SharePoint), creation and revision of Agency forms, policies, reports, and documents; and other general administrative activities.

Knowledge, Skills, Abilities

  • Proficiency in the English language.
  • Excellent written and verbal communication skills.
  • Strong knowledge of office procedures and equipment, including fax and scanning systems.
  • Strong computer skills and demonstrated proficiency in Microsoft Office Suite.
  • Proven proficiency in typing, editing, proofreading, taking, and transcribing meeting minutes. Excellent punctuation, grammar, and spelling skills.
  • Excellent time management skills and ability to prioritize work. Ability to work independently and remain self-motivated.
  • Strong organizational and planning skills with the ability to multi-task; must have tolerance for multiple demands.
  • Ability to work cohesively, efficiently, and effectively with all agency departments and relate positively and courteously to staff and clients.
  • Ability to consistently observe client/staff/proprietary information and confidentiality requirements.

Essential Duties:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

  • Provides clerical support and assistance to senior managers. Schedules meetings, virtual meetings, and conference calls. Organizes and maintains paper and electronic files.
  • Provides functional support to the Director of Operations. Supports Director of Operations with marketing efforts including print ads, organizing health fairs, development and ordering of marketing materials.
  • Takes and transcribes minutes for multiple organizational meetings, including committee meetings, department meetings, and Board of Directors meetings.
  • Assists the Board of Directors in scheduling committee meetings, notifying members, and assuring a quorum for board meetings.
  • Provides backup to the Administrator of the agency’s policy management software program (currently PolicyTech), including edits and revisions for various programs as requested.
  • Manages and maintains the agency’s intranet site, currently “SharePoint,” in coordination with the HR designee.
  • Creates new forms and revises established agency forms as requested.
  • Picks up, sorts, and distributes incoming mail daily.
  • Collects payments from Reception and prepares deposits daily.
  • Prepares meeting area and refreshments for monthly organizational meetings.
  • Remains familiar with and adheres to published Agency policies.

Nonessential Duties:

  • Troubleshoot issues/problems with the postage machine.
  • Serves on Agency ad-hoc committees as requested or assigned.
  • Serves as Notary Public for the agency.
  • Other position-related duties as assigned.

Working Conditions

  • Work is performed primarily inside a heated, ventilated, and well-lighted environment.
  • Job is considered low-risk for hazard exposure.
  • MSHS is a nonsmoking campus.

  • Requires extensive sitting with limited motion for long periods of time. Moderate amounts of standing, bending, and reaching. Lifting under 50 lbs.
  • Requires manual dexterity sufficient to operate a computer keyboard, office, and other equipment.
  • Requires normal range of hearing and vision acuity.

Minimum Education and Experience:

  • High School Diploma or Equivalency
  • Associate's Degree in Office Technology or related field, Certificate in Office Administration, preferred.
  • Three years of experience with progressive responsibilities in a similar position
  • Experience using a variety of computer programs including, but not limited to, Microsoft Office Suite products

General Requirements:

  • Clear background check (subject to DHSS background check)
  • Current tuberculosis screening test result
  • First Aid and CPR certifications must be obtained within two weeks of hire.
