Summary of Responsibilities:
The Administrative Assistant – Reception will be responsible for greeting clients, answering the telephone, general office duties and being the primary contact for all work room functions. The ideal candidate will be proactive, energetic, tech-savvy, reliable and someone who can thrive in a fast-paced team setting.
Essential Functions:
Reception
  • Greet clients and staff arriving for meetings.
  • Answer phone calls and routing calls to appropriate staff.
  • Monitor time entry of all staff and follow up accordingly. Assist staff when they have issues with time entry.
  • Prepare FedEx and certified labels for shipping.
  • Be a resource for other internal firm services, helping out with entering data or other light admin duties.
Work Room
  • Prints, copies, collates and binds typed materials
  • Operates all office machines, including computer and duplication equipment
  • Scans files as needed and updates tracking for same
  • Sorts and delivers mail
  • Shreds materials as needed
  • Sorts and organizes office supplies
 
Job Qualifications:
  • High school diploma or GED equivalent.
  • At least two years of office experience, preferably in professional services.
Required Knowledge, Skills and Abilities:
  • Superior oral and written communication skills with a focus on client services.
  • Excellent interpersonal skills with all levels of firm staff.
  • Ability to exercise good judgement and initiative while maintaining high confidentiality.
  • Solid technical proficiency including knowledge of MS office applications (particularly Word, Excel, Powerpoint, and Outlook).
  • Drive and curiosity to make things better.
  • Ability to take ownership and manage projects from start to finish.
  • Proactive and self-motivated – always looking to learn and grow.
  • Effective time management skills, the ability multi-task, and remain detail-oriented.
  • Agile – with the ability to manage multiple projects, work independently, and with teams.
  • Confidence working with deadlines and managing quick turnaround requests.
