Job Summary:
The Receptionist/Office Assistant is a Full-time position that will perform various routine clerical duties to support the organization.
Duties/Responsibilities:
· Reviews daily timesheets for accuracy and completion and enter data into Accounting software
· Assist with Company Invoicing, job creation, customer deposits, customer payments
· Performs clerical duties including typing, filing, and completion of simple forms.
· Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.
· Serves as the receptionist for the office, greeting visitors and applicants.
· Answers phones, directs calls to appropriate individuals, and prepares messages.
· Copies, sorts, and files records related to office activities, business transactions, and other matters.
· Track company vehicles; ensure properly numbered and registered for EZ pass.
· Prepares letters, memos, forms, and reports according to written or verbal instructions.
· Sorts incoming mail and delivers to appropriate department or individual; processes outgoing mail.
· Maintains a professional and organized front office area; schedule cleaning when needed.
· Maintains filing systems either manually or electronically.
· Maintains inventory of office supplies; orders new supplies as needed.
· Maintains inventory of company apparel.
· Special projects as assigned.
· Performs other related duties as assigned
Required Skills/Abilities:
· Excellent verbal and written communication skills.
· Excellent interpersonal and customer service skills.
· Excellent organizational skills and attention to detail.
· Excellent time management skills with a proven ability to meet deadlines.
· Proficient with Microsoft Office Suite & Quickbooks.
Education and Experience:
· High school diploma or equivalent required.
· Clerical experience preferred.
· Experience using QuickBooks a plus
Physical Requirements:
· Prolonged periods sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
· Ability to drive between company locations.
· Current Driver’s License.
