Role Purpose Statement

We are seeking a dynamic and personable individual to join our team as a Customer Service Receptionist. As the first point of contact for our clients and visitors, you will play a crucial role in delivering exceptional customer service and ensuring smooth operations at our facility.

Main Accountabilities

• Greet visitors and clients in a professional and courteous manner. Manage incoming calls and emails, directing them to the appropriate departments or individuals.
• Assist clients with inquiries, requests, and concerns, ensuring prompt and satisfactory resolution. Provide information about our services, products, and company policies as needed.
• Schedule appointments for clients, vendors, and staff members. Maintain and update the appointment calendar accurately.
• Provide administrative support to various departments, including data entry, filing, and document preparation. Assist with special projects and tasks as assigned.
• Coordinate facility-related tasks such as meeting room reservations, maintenance requests, and office supply inventory.
• Follow security procedures to ensure the safety of visitors, employees, and company property. Monitor access to the facility and issue visitor badges as necessary.

Knowledge, Skills and Experience

• High school diploma or equivalent required; associate's or bachelor's degree preferred.
• Previous experience in customer service, reception, or administrative support role preferred.
• Excellent communication and interpersonal skills.
• Strong organizational and multitasking abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Ability to remain calm and professional in high-pressure situations.
• Attention to detail and accuracy.
• Flexibility to work occasional evenings or weekends as needed.
